What's different about office admin work at a commercial inspection firm

Most office admin jobs answer phones, file and bill. Here the callers are lenders and investors with closing dates, the files hold other people's deal data, and each invoice ties to a property and a report.

  • Callers want a report by a date

Calls and emails come from loan officers, brokers, attorneys and asset managers, often with a closing date already set. The admin takes down the address, property type, size and due date. The admin also asks which report the caller needs: a property condition assessment or a Phase I environmental site assessment. Then the Estimator prices it.

  • Deal files are private

Rent rolls, leases, repair budgets and even the fact that a building is for sale are often secret. Lenders and buyers may ask the firm to sign a nondisclosure agreement before they share anything. The admin keeps files to the project team, never confirms a project to an outside caller, and sends reports only to the people the client names.

  • Phase I files have to be complete

ASTM E1527-21 says a Phase I report must document every source, record and resource used in the inquiry. The admin helps keep the project folder whole. Records the client sent, database reports, interview notes and photos are filed so the environmental professional who signs the report can find each one. Source: ASTM International: E1527-21, Phase I Environmental Site Assessment Process (scope).

  • Billing follows each client's rules

A lender may want the loan number on every invoice. A portfolio client may want one invoice per property. A large owner may make vendors sign up in its payment portal first. The admin sets these rules up when the project opens, so an invoice isn't sent back after the report has already gone out.

  • Clients in several states

This firm works in several states, so the phones ring early for East Coast clients and late for West Coast ones. The admin books calls in the client's time zone and keeps a market-by-market sheet of who covers where, so each question reaches the right person.

Skills to hire for, and what you can teach

Hire for these

  • Careful data entry and invoicing, with a habit of checking totals
  • A polished phone manner with bankers, brokers and attorneys
  • Discretion with confidential client files
  • Keeps many open projects straight in a tracker or spreadsheet
  • Short, clear business emails

Teach these on the job

  • The difference between your report types
  • Your billing system and each client's invoice rules
  • Your project folder setup and file names
  • Who handles what among the estimator, scheduler, inspectors and reviewer

Expect Microsoft 365 or Google Workspace, an accounting system for billing and posting payments, and the firm's project tracker. Naming your billing and file systems in the posting draws people who already know them.

Inspection firm office admin interview questions

Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.

  1. Situational · Billing accuracy

A client says they were invoiced twice for the same project. What do you do?

A strong answer: Checks the records, apologizes, issues a credit or void if it's a duplicate, tells the Bookkeeper, and confirms with the client.

  2. Behavioral · Customer service

Tell me about a time you calmed a client who was upset about a late report or a bill.

A strong answer: Listened, acknowledged the problem, checked the facts, solved it or got the right person, and followed up.

Inspection firm office admin FAQ

What does an office admin handle at a commercial property inspection company?

They keep the office side of each project moving. That means logging requests, answering client calls and emails, filing documents and delivered reports, entering data, sending invoices and posting payments. They also help inspectors and managers find records, and keep the project tracker current.

How much does an inspection firm office admin make?

Office clerks, general who work for architecture, engineering, and inspection firms earned a median of $23.24 an hour ($48,340 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $39,770 and $60,230 a year. Pay also depends on your local market, experience and overtime.

Who books site visits, the office admin or the scheduler?

The scheduler, who owns inspector assignments, access, document requests and specialist bookings. The admin owns the phones, the files and billing, and covers scheduling when the scheduler is out, which is why the template lists appointments. At a smaller firm one person may do both. Here both report to the Office Manager.

Should an office admin sign a confidentiality agreement?

Many firms ask every employee to sign one, since clients share leases, rent rolls and deal terms before a sale or loan closes. Keep it to client and deal information, and train the admin on what can be said on the phone. Have an employment attorney review the wording.

Does the office admin need to know inspection standards?

Only the basics. A property condition assessment usually follows ASTM E2018, and a Phase I environmental site assessment follows ASTM E1527-21. Knowing that is enough to take a request correctly and send it to the right person. When a client asks about something in a report, the admin passes it to the Inspection Manager.

What background makes a good office admin here?

The template looks for two or more years of office administration. Billing work at another professional services firm, such as an engineering, appraisal or title company, carries over well. Comfort with accounting software matters more than knowing buildings. Where the template mentions home inspectors and home services, put in your own services before posting.
