1. Position Summary

The Night Auditor runs the front desk overnight and closes the hotel's business day. You'll check in late arrivals and handle guest calls and security issues, then run the night audit: post room and tax, balance every department, process no-shows and roll the date in [your property management system]. Managers start their day with your reports.

2. Essential Duties and Responsibilities

  • Post room and tax to every in-house guest and correct rate discrepancies before closing the day.
  • Balance front desk and outlet revenue against cash, card and room-charge totals.
  • Process no-shows and late cancellations by policy, and charge guaranteed reservations correctly.
  • Run the day-end close and save the reports managers need, including the daily flash report.
  • Print or save downtime reports, such as arrivals and in-house lists, so the desk can work if the system goes down.
  • Check in late arrivals and handle overnight requests and complaints, often as the only agent at the desk.
  • Report noise, safety and security issues to security or the manager on call, and log them.

3. Key Tasks / Daily Activities

  • Take over the desk, count your bank and read the evening shift's log.
  • Compare the housekeeping room status report with the in-house list and flag discrepancies for the morning.
  • Settle credit card batches and track down declined or unbalanced transactions.
  • Walk the lobby and public areas on the schedule your policy sets.
  • Prepare express check-out folios and the morning wake-up list.

4. Key Performance Indicators (KPIs)

  • Audit completed by your deadline: [your target].
  • Posting and balancing errors found by accounting: [your target].
  • No-show charges posted correctly: [your target].
  • Overnight guest complaints resolved before morning: [your target].

5. Required Qualifications and Skills

  • High school diploma or equivalent, plus [1+] year of front desk, accounting or cashiering experience.
  • Comfortable with numbers, reconciling totals and finding out why they don't match.
  • Works alone overnight, follows procedures without a manager present and knows when to call for help.
  • Handles a late check-in, a noise complaint and a declined card on the same night without losing track of the audit.

6. Preferred Experience

  • Night audit experience with [your property management system] or another hotel system.
  • Bookkeeping or accounting coursework.
  • Front desk experience at a full-service hotel with several outlets.

7. Physical Requirements

  • Sit or stand at the desk through an [8]-hour overnight shift.
  • Stay alert through the night and walk public areas on rounds.
  • With or without reasonable accommodation.

8. Work Environment and Schedule

  • Overnight shift, [11 p.m. to 7 a.m.], [five nights a week], including weekends and holidays.
  • Often the only front office employee on duty, with a manager on call.
  • Quiet stretches mixed with late arrivals, noise complaints and the occasional emergency.

9. Compensation and Benefits

  • Pay: [range and hourly or salary basis].
  • Additional pay: [overtime, bonus or incentive terms, or none].
  • Benefits: [health, dental, vision, retirement, paid time off, and when they start].

What's different about the night audit at a hotel

A bookkeeper closes the books once a month. A hotel night auditor closes them every night, at a front desk that has to stay open while the guests sleep.

  • Every outlet balances before the date rolls

Restaurant, bar, banquet, spa and shop charges post to guest folios all day. Before rolling the date, the auditor matches each outlet's totals with what reached folios and the card batches, and chases anything that doesn't tie out. A posting left wrong tonight lands on a guest's bill at checkout tomorrow.

  • No-shows get checked before they're charged

Guaranteed reservations that never arrive get charged under your cancellation policy. The auditor checks each one first: a guest still on the road, a cancellation the desk took but didn't enter, a room that belongs to a group block. A wrong charge turns into a card dispute that lands on the accounting clerk's desk.

  • Long stays can change the room tax

Tax doesn't post the same way for every guest. In Texas, a guest who stays at least 30 days in a row owes no state or local hotel tax after day 30. A guest who tells the hotel in writing up front is exempt from the day of that notice, and any break in the stay voids it. Rules differ by state and city, so the auditor follows the tax setup your accounting team built. Source: Texas Comptroller: Hotel occupancy tax FAQs.

  • Alone, with cash, late at night

OSHA lists handling money with the public, working alone and working late at night among the factors that raise the risk of workplace violence. A night auditor often has all three. Give the auditor a fast way to reach security or the manager on call, a back office that locks, and a clear rule for when to call 911. Source: OSHA: Workplace violence.

  • Police requests in the middle of the night

Officers sometimes ask the night desk for a guest's name or room number. In 2015 the Supreme Court struck down a Los Angeles law that let police inspect hotel guest records on demand, because hotels had no chance to get a neutral review first. Hotels can still be required to keep those records. Give the auditor a written policy and the on-call manager's number for these calls. Source: City of Los Angeles v. Patel, 576 U.S. 409 (2015) (Cornell LII).

How much hotel night auditors make

The closest BLS group for hotel night auditors is hotel, motel, and resort desk clerks. Hotel, motel, and resort desk clerks who work for hotels, resorts, and motels earned a median of $16.84 an hour ($35,020 a year) in May 2025, according to the Bureau of Labor Statistics. That’s about the same as the $35,070 median for hotel, motel, and resort desk clerks in all industries. About 242,020 of the 261,420 hotel, motel, and resort desk clerks in that survey work for hotels and resorts.

Hourly with overtime. Federal law doesn't require extra pay for night work, so a night differential is a choice you make; if you offer one, put it in the offer letter.

Skills to hire for, and what you can teach

Hire for these

  • Works through the audit checklist in order, every night, with no manager in the building
  • Can stop mid-audit for a guest and pick up exactly where they left off
  • Knows when a problem needs security, the manager on call or 911
  • Has run a cash drawer and card terminal at a desk or register
  • Writes a clear log of the night for the morning team

Teach these on the job

  • Your night audit routine and day-end close
  • Your no-show and cancellation rules and how to post the charge
  • Which downtime reports to save and how to run the desk without the system
  • The flash report: what goes in it and who gets it
  • How each outlet's point of sale sends charges to guest folios
  • Your rounds schedule and incident log

The audit runs in the property management system, alongside each outlet's point of sale, the card processor's batch screen and a printer or shared drive for downtime reports. Someone who has closed a day in OPERA Cloud, Mews or a similar system needs far less training than someone who has only worked the day desk.

Hotel night auditor KPIs

Judge an auditor over a month of nights, not one sold-out Saturday or the night the system crashed.

Audit completed by your deadline
The time stamp of the day-end close against the hour your managers need morning reports. When it runs late, note why: a system problem, a busy desk or an outlet that hadn't closed.
Posting and balancing errors found by accounting
Corrections the accounting clerk makes in the next day's income audit that trace back to the night's postings, logged by auditor and by type, such as rate, tax or outlet.
No-show charges posted correctly
No-show charges later reversed, refunded or disputed, compared with all no-show charges posted. Pull them from the adjustments report and the card dispute log.
Overnight guest complaints resolved before morning
Complaints logged overnight and their status at shift change, from the shift log. Count the ones the morning desk or a manager had to reopen.

Hotel night auditor FAQ

Is night audit a front desk job or an accounting job?

Both. In this template the night auditor reports to the front office manager, because much of the shift is desk work: late arrivals, calls and security issues. The audit itself is accounting work, and the accounting clerk checks it the next morning. Hire someone who enjoys making numbers tie out and can still be pleasant to a guest who just landed after midnight.

How much does a hotel night auditor make?

Hotel, motel, and resort desk clerks who work for hotels, resorts, and motels earned a median of $16.84 an hour ($35,020 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $29,740 and $37,920 a year. Pay also depends on your local market, experience and overtime.

What happens if the hotel system goes down overnight?

That's what downtime reports are for. Before the close, the auditor saves or prints the arrivals list, the in-house list with balances, and room status. If the system fails, the desk works from paper: check-ins on registration cards, charges on a log, and everything posted once the system is back. Walk new auditors through it before they ever need it.

What is a flash report?

It's the short summary the night auditor leaves for managers. It shows rooms sold, occupancy, average daily rate, revenue per available room, revenue by department, and cash and card totals. The general manager reads it first thing. A wrong number in the flash becomes a wrong number in the morning meeting. Ask candidates which reports they ran at the close and who read them.

Does a night auditor need accounting training?

Not formally. This blueprint wants a high school diploma or the equivalent plus a year at a front desk, in accounting or on a register, and counts bookkeeping classes as a bonus. What matters is patience with numbers: when the restaurant total is off, a good auditor traces it to the check that didn't post instead of entering an adjustment to make it balance.
