Counting stock works the same everywhere. In solar, batteries come with dates and shipping rules. Each job's approved plans also name the exact parts it needs.
Batteries carry a deadline
Some home batteries ship with a date on the box. Enphase tells installers of its IQ Battery 5P to check the Energize By label before unboxing, to confirm the battery will be installed by that date. If the date has passed, the installer contacts the distributor. Log the date when each battery arrives and pick the oldest first. Flag any unit that won't make its date while you can still swap it. A failed battery ships under hazmat rules
Federal hazmat rules set packing steps for a lithium battery that's damaged, or that its maker calls defective for safety reasons, when it could overheat, catch fire or short out. It may travel only by highway, rail or ship. Each one goes in its own non-metal inner package that fully encloses it, with cushioning that won't burn or carry current and soaks up liquid. The outer box, drum or large packaging must be rated and marked Damaged/defective lithium ion battery. Source: eCFR: 49 CFR 173.185, lithium cells and batteries.
Pick to the approved plans
The permit set and the utility application name exact panel, inverter and battery models. Pull parts from the job's approved list, not the sales proposal. Ask the project manager before you swap anything, even a panel of the same wattage from another maker.
Small parts stop jobs too
A job can stall for want of a flashing kit, a rapid shutdown device or a box of end clamps. Count these every week. Set reorder points by the number of roofs on the schedule, since each roof plane needs its own rails, splices and clamps.

Skills to hire for, and what you can teach
Hire for these
Counts carefully and records every pick the same day
Comfortable in inventory software and spreadsheets
Checks a packing list against a purchase order line by line
Phones the distributor about a short delivery before the crew notices
Keeps shelves labeled well enough that a new hire could pick from them
Teach these on the job
Panel, inverter, battery and racking part numbers
Your kit list for each roof type
Each maker's battery storage and return steps
Hazmat packaging for damaged batteries
Your pallet jack and forklift, once trained and authorized
Stock is tracked in your job software's inventory module or a spreadsheet, with a barcode scanner. Moving it takes a pallet jack, plus a forklift if pallets sit on high racks. Name each in the ad, and mention any driving of a company truck to job sites.
Solar installation & service inventory specialist interview questions
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Catching substitutions
The distributor ships a different inverter model than the one on the permit and utility application. What do you do?
A strong answer: Holds it, tells the project manager before install because the change may need revised approvals, and arranges an exchange.
Behavioral · Tracking serial-numbered equipment
Tell me about a time you fixed a recurring problem tracking serial-numbered equipment, such as inverters, batteries or optimizers.
A strong answer: Found the root cause (serials not scanned at pick, swaps on site not reported), changed the process, such as scanning at pick and install, and checked that it held.
Solar installation & service inventory specialist KPIs
After your first quarter of cycle counts and purchase orders, trade the template's sample targets for numbers drawn from your own shelves.
Inventory Accuracy
Compare counted quantities with system records, weekly for panels, inverters and batteries and monthly for the rest. Find the cause of every gap before adjusting the record.
Timely Order Fulfillment
For each purchase order, compare the date it went out with the date it needed to go out to arrive before the job's install day. Review the late ones with the warehouse manager.
Stock Turnover Ratio
Divide the cost of parts used in a period by the average value on hand. Watch slow movers closely, such as a panel model sales stopped offering.
Reduction in Stock-outs
Log every time a job or service call waits on a part that should have been in stock, with the part and the cause, and total them each quarter.
Career path
Delivery driver or yard handLoads trailers and learns the parts by sight.
Inventory specialistKeeps counts right and each job's parts ready.
Warehouse managerRuns receiving, storage and loading for every crew.

Solar installation & service inventory specialist FAQ
Which physical tasks does a solar inventory specialist handle?
Moving boxes of racking and clamps, carrying inverters to a shelf, and breaking down panel pallets with a pallet jack. Kneeling to count low bins. Checking stock in the yard or a parked trailer in any season. Batteries and full pallets move with two people or a machine. Put this list in the posting, along with your accommodation statement.
How much does a solar installation & service inventory specialist make?
Shipping, receiving, and inventory clerks who work for electrical contractors earned a median of $24.00 an hour ($49,920 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $41,420 and $60,620 a year. Pay also depends on your local market, experience and overtime.
Should a solar inventory specialist track serial numbers?
Yes, for panels, inverters, microinverters and batteries. Scan each serial when it's picked so it's tied to a job before it leaves the building. Some makers ask for this: REC's installation manual says to record panel serial numbers before installing them and note them in the system's records. The office needs those numbers to register warranties and file claims.
What hazmat training does a solar inventory specialist need?
Anyone who packs a damaged battery to ship is a hazmat employee under federal rules, since the definition covers preparing hazmat for transport. A new hire may do that work before training only while a trained hazmat employee directly supervises them, and the training must be done within 90 days of hire. Retrain each packer no less than once in three years. Ask each maker for its return steps, but the training record is yours to keep.
How much stock should a solar company keep on hand?
Enough for the installs booked over the next few weeks plus the service parts you use most. Keep panels lean if your distributor delivers fast, since models change often. Hold more of the small parts that stop a job.
