Dispatching to houses mid-build

Crews here go back to the same few houses for months, and families live in most of them. The day is less about routes and more about getting the right crew, material and machine to a house that still has to work as a home.

  • Trusses on a boom truck bring the crane rules

OSHA's crane standard leaves out a knuckle-boom delivery truck that just sets material on the ground. It also leaves out one that sets drywall, plywood or shingle bundles onto the house with a fork, if the truck has a working overload device. Neither exclusion covers roof trusses, wall panels or steel beams, so the crane rules apply when the boom handles those, even for a drop in the yard. Ask the supplier what's coming and how, and tell the field supervisor. Source: eCFR: 29 CFR 1926.1400(c)(17), material delivery and the crane standard's scope.

  • Dig tickets can expire while permits wait

Footings for an addition or a porch mean digging. In Kansas, for example, the excavator serves a notice of intent at least two full working days, and no more than 20 calendar days, before the planned start. The notice is good for 20 calendar days after that start date. When a permit or a client's decision pushes the dig back, the dispatcher checks the ticket's dates before rebooking the excavator. Ask the homeowner about lines they own, too, such as a feed to a detached garage. Source: Kansas Statutes 66-1804 (example): notice of intent of excavation.

  • Deliveries land at a lived-in house

Lumber, windows and cabinets arrive in a driveway the family still uses. The dispatcher agrees with the supplier and the homeowner on where each load goes and which days the driveway is blocked. They also settle where cabinets and other finished goods will wait. Someone from the firm checks each load against the order and photographs any damage before the driver leaves. A cracked window found a week later is hard to claim.

  • The family reads tomorrow's plan

Clients follow their job in the project management portal, and some check it every evening. The dispatcher updates it before leaving each day: which crew or sub is coming, about when, and what they'll work on. Send the family the names of the people arriving, too. Families notice when someone they weren't told about knocks on the door.

How much design-build dispatchers make

Dispatchers who work for building contractors earned a median of $25.59 an hour ($53,230 a year) in May 2025, according to the Bureau of Labor Statistics. That’s above the $50,340 median for dispatchers in all industries. About 650 of the 202,810 dispatchers in that survey work for building contractors.

The template pays a salary with possible bonuses, and the BLS median for dispatchers at building contractors lands inside its range. Whether a salaried dispatcher is owed overtime turns on the job's duties under federal and state rules, so settle it with your employment lawyer before the busy season's long weeks.

Skills to hire for, and what you can teach

Hire for these

  • Has scheduled crews and deliveries for a builder, remodeler or lumber yard
  • Confirms every delivery the day before with the supplier and the homeowner
  • Keeps a schedule clients can see accurate by the end of each day
  • Watches dig ticket dates when a permit or start slips
  • Asks the right questions when booking trusses, beams or a crane

Teach these on the job

  • Your crews, their lead carpenters and what each crew does best
  • Which suppliers deliver on which days, and their order deadlines
  • Your state's dig notice timing
  • Your client portal and what clients can see in it
  • The order of phases on an addition or a remodel

The board lives in the project management app, such as Buildertrend or JobTread, whose client portal shows the same schedule. Add supplier delivery portals, the dumpster hauler's ordering site and the state one-call website. In the interview, have candidates update a client's schedule and explain what the family will read.

Design-build dispatcher interview questions

Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.

  1. Situational · Coordinating design visits and crews

A designer needs to measure a client's home tomorrow morning, and the crew is set to start demolition there at the same time. What do you do?

A strong answer: Coordinates the times, confirms with the client, makes sure measurements happen before demolition touches those areas, and updates the schedule.

  2. Behavioral · Keeping clients informed

Tell me about a time you had to tell a client their start date or delivery was moving.

A strong answer: Called before the change took effect, explained why in plain words, confirmed the new date in writing, and updated the schedule.

Design-build dispatcher KPIs

Look at these every Monday with the operations manager, house by house, since one addition with a missed truss date can hide behind several smooth kitchens.

Crew Utilization Rate
Paid crew hours spent building, from timecards, against all paid crew hours. When a crew stood idle, note whether dispatch caused it, such as a load that never came or a wrong address, or the weekly plan did.
On-Time Delivery Percentage
Check each delivery against its booking: right day, right drop spot, full count and no damage. Put supplier misses and booking errors on separate lines, since only the second kind is the dispatcher's to fix.
Customer Satisfaction Rating
Client survey answers about knowing who was coming and when, read with any complaints about the dispatcher's notices. Keep these apart from scores about design or workmanship.
Job Status Update Accuracy
Count calls from clients or crews caused by a wrong portal entry or job status, such as a family expecting a crew that wasn't booked. Go over each one against the field supervisor's daily log.

Career path

Design-build dispatcher FAQ

How is a design-build dispatcher different from the operations manager?

The operations manager plans weeks ahead: which crew takes which job, when each sub comes, what has to arrive first. The dispatcher owns tomorrow and the day after. They confirm every booking, post it to the client portal, and repair the day when a truck or crew falls through. Anything that would change next week's plan goes back to the operations manager.

How much does a design-build dispatcher make?

Dispatchers who work for building contractors earned a median of $25.59 an hour ($53,230 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $43,630 and $62,850 a year. Pay also depends on your local market, experience and overtime.

What does the template's vision and hearing line ask of a dispatcher?

The line ships word for word. In this job it covers reading order numbers and drop notes on a supplier's ticket, spotting a cracked window in a delivery photo, and guiding a lost driver to the right house by phone. Put those duties in the posting. People do them in different ways, with screen magnifiers or captioned calls for example, so invite accommodation requests.

Should a design-build dispatcher visit job sites?

Now and then. The template keeps the job mostly in the office, but a dispatcher who has walked a few houses knows where a truck can turn, where cabinets can be stored and which driveway can't take a lumber drop. Plan a few site visits with the field supervisor in the first month.

Who books the dumpster and portable toilet?

Often the dispatcher, from the start date in the operations manager's plan. Agree with the homeowner where each one goes, off the lawn and clear of the family's cars. A dumpster in the street may need a city permit, so check before booking one there. Order a swap before demolition week fills the first one.
