A plumbing dispatcher sets the order of the day's calls and picks the plumber for each one, from a dripping faucet to sewage coming up a floor drain. They match every job to a tech with the right license, truck and equipment, then tell homeowners when to expect them.

A dispatcher in any trade fills a schedule. In residential plumbing, water damage keeps spreading while a plumber is on the way, drain and sewer jobs need their own gear, and license law decides which helpers may go out without a licensed plumber.
Active leaks bump the booked day
A burst pipe or sewage in a tub can't wait for an afternoon window, so the dispatcher pulls the nearest plumber who can handle it. That leaves a booked customer without a plumber. The dispatcher decides who gets moved, calls them before the window passes, and offers a new time. Done well, the bumped homeowner stays a customer.
Drain and sewer calls need the right truck
A kitchen sink clog fits a service plumber with a small cable machine. A main line backup that hits every drain in the house may need a bigger machine, a jetter or a sewer camera, and not every truck carries one. The dispatcher checks how many fixtures are backing up and whether it has happened before, then sends the tech with the gear.
License rules decide who can go alone
Plumbing license rules differ by state. In Texas, an apprentice who also holds a Drain Cleaner-Restricted registration may clear stoppages in building drains and sewers through an existing code-approved opening, under a responsible master plumber's general supervision. Other plumbing work needs a licensee's direct supervision. So that tech may take a main line clog through an existing cleanout on their own, but not a leaking supply line. The dispatcher keeps every tech's license and registrations in view and follows your own state's rules. Source: Texas State Board of Plumbing Examiners: Other registrations.
A dead water heater is a same-day job
A family with no hot water wants it fixed today. The dispatcher gets the tank's size, fuel type and location, such as attic, garage or closet, plus a photo of the label if the caller can send one. That tells the shop whether a service plumber can repair it, or whether a new tank and an install crew need to go out.
Residential vs. commercial plumbing dispatch
The board looks the same. The callers, the approvals and the access rules change.
Topic
Residential
Commercial
Who calls
A homeowner, often while water is still running
A facility or property manager, or the manager on duty at a restaurant or store
How jobs come in
Calls, online booking and texts, mostly for today
Work orders tied to a purchase order number, often from the customer's own portal
Common calls
Clogs, leaks, running toilets, water heaters and sewer backups
Restroom fixtures, grease line backups, backflow tests and building water heaters
Approval for extra work
The homeowner approves the price on site
A not-to-exceed amount or a manager's sign-off first
Getting in
Locked gates, loose dogs, and an adult on site to approve the work
Opening hours, a site contact, keys, and work after the doors close
How much plumbing dispatchers make
Dispatchers who work for plumbing, heating, and air-conditioning contractors earned a median of $22.83 an hour ($47,480 a year) in May 2025, according to the Bureau of Labor Statistics. That’s below the $50,340 median for dispatchers in all industries. About 12,070 of the 202,810 dispatchers in that survey work for plumbing and HVAC contractors.
Hourly, per the template, so long freeze weeks can mean overtime. The template also offers a performance bonus, which you might tie to on-time arrivals or a full board.

The pay line in the template above is an example from our Role Blueprint. Set yours from these figures and what local companies pay.
Skills to hire for, and what you can teach
Hire for these
Stays calm and gets the facts from a caller standing in water
Types clear notes while talking, so the plumber walks in knowing the problem
Rebuilds the day in minutes when an emergency lands
Builds routes around traffic and travel time, not straight-line distance
Keeps track of which techs hold which licenses and carry which gear
Teach these on the job
Plumbing terms such as main line, cleanout, shutoff, PRV and tankless
Your dispatch board, job notes and flat-rate tasks
Your question lists for drain, leak and water heater calls
Your state's license and supervision rules for each tech
Which service plan members get priority, if you sell plans
The board lives in a dispatch program like ServiceTitan, Housecall Pro, Successware or Jobber, next to truck GPS and a phone system that pulls up the caller's history. Drain-heavy shops also track which trucks carry a jetter or a sewer camera.
Plumbing dispatcher interview questions
They have their own page: 6 questions that test this job, what strong and weak answers sound like, and a work exercise to run with your finalists.
The template's numbers will do for the first quarter. After that, set your own from the board's history, and judge freeze weeks apart from normal ones.
Technician on-time arrival rate
Arrivals inside the window you gave the homeowner, divided by all arrivals, from the check-in time stamps in your software. Look at emergencies apart from booked calls.
Job scheduling accuracy
Jobs where the assigned tech had the right license, truck and equipment, divided by jobs dispatched. Count every reassignment or second trip caused by a booking mistake.
Customer satisfaction rating
Post-job survey and review stars, sorted by the dispatcher who ran each job. Pull out the complaints about late plumbers or wrong job details, since those trace back to dispatch.
Daily dispatch efficiency
Jobs assigned within the time you set for that call type, divided by all jobs, from the booking and dispatch time stamps. Set a tighter limit for active leaks and sewer backups.
Career path
Customer service repBooks jobs on the phone and hears every kind of plumbing problem.
DispatcherSets each plumber's route and slots in the emergencies.
Dispatch lead or call center supervisorCoaches new dispatchers and reps, and takes the board on the worst freeze days.
Operations managerLeads plumbers, install crews, dispatch and the stockroom.
Should a plumbing dispatcher also answer the phones?
At many shops this size, customer service reps book the calls and the dispatcher runs the board. In slow hours, one person may do both. The template lists handling customer inquiries as a daily task, so expect some phone work either way. As the call center grows, a dispatcher who mostly watches the board has more time to catch late arrivals before the homeowner calls.
How much does a plumbing dispatcher make?
Dispatchers who work for plumbing, heating, and air-conditioning contractors earned a median of $22.83 an hour ($47,480 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $42,120 and $56,740 a year. Pay also depends on your local market, experience and overtime.
What experience should a plumbing dispatcher have?
The template asks for one to three years of dispatch or scheduling in home services, with plumbing as a plus. Dispatchers from HVAC, electrical or pest control already know how to juggle a board. What they'll need to learn is plumbing: what a main line clog sounds like on the phone, which calls need a camera, and your state's limits on helpers.
How do you test a plumbing dispatcher before hiring?
Hand them a mock board with six booked calls and four techs, then drop in a sewer backup and a burst pipe at mid-morning. Have them talk through the new plan. Note who they move, who they phone first, and what they tell the homeowners who now wait longer. Then play a homeowner calling back to ask where the plumber is.
Do plumbing dispatchers work nights and weekends?
Many do some. Plumbers are often on call for emergencies, so someone has to route the night and weekend calls. That may be a dispatcher on rotation, an answering service, or the on-call plumber. The template lists standard office hours with on-call duty when demand runs high, so tell candidates which setup you use and how on-call time is paid.
Who should a plumbing dispatcher report to?
At a company this size, usually the operations manager, since dispatch decides how the field team spends its day. Some shops put dispatch under the office manager with the call center instead. Either works if one person owns the board, and the dispatcher knows who can approve overtime or pull an install crew onto service calls.
