1. Position Summary

You'll run our sprinkler installation jobs from signed contract to final acceptance. You get shop drawings and hydraulic calculations approved by the authority having jurisdiction (AHJ), order pipe and heads on time, book crews with the Production Manager, and get every system through its hydrostatic test and final inspection. General contractors deal with you on schedule, changes and billing.

2. Essential Duties and Responsibilities

  • Run each sprinkler job from contract turnover to final acceptance: scope, schedule, budget and the general contractor relationship.
  • Coordinate shop drawings and hydraulic calculations with the Master Technician or designer, and clear clashes with ductwork, lights and structure before pipe is cut.
  • Submit drawings, calculations and product data to the AHJ and the engineer of record, and track every comment to approval.
  • Order pipe, fittings, heads, valves, backflow preventers and fire pump equipment against the approved drawings, and track long-lead items.
  • Book underground flushes, hydrostatic tests, rough-in and final inspections with the AHJ and fire marshal, and attend the ones that need us.
  • Price change orders for added heads, relocations and design changes, and get them signed before the crew does the work.
  • Build the closeout package: as-builts, Contractor's Material and Test Certificates, warranty letter, and a handoff to our inspection team for NFPA 25 work.

3. Key Tasks / Daily Activities

  • Check the submittal log for open AHJ comments, RFIs and approvals that are waiting on someone.
  • Walk [one or two] active sites with the Field Supervisor to check head layout and hangers, and catch clashes before they turn into rework.
  • Call the general contractor's superintendent about ceiling close-in dates, inspection slots and areas that are ready for pipe.
  • Compare fitter hours and material use against each job's budget and flag the ones drifting over.
  • Set up fire watch and impairment notices with the building owner when a crew ties into a live system.

4. Key Performance Indicators (KPIs)

  • Shop drawings approved by the AHJ on first submittal: [your target].
  • Hydrostatic tests passed on the first try: [your target].

  • Working knowledge of NFPA 13 and how your local AHJ and fire marshal review and inspect sprinkler work.
  • Tracks fitter hours and material against each budget in [your project management software].
  • A valid driver's license for daily site visits.

6. Preferred Experience

  • NICET certification in Water-Based Systems Layout.
  • Experience with dry pipe, preaction, standpipe (NFPA 14) or fire pump (NFPA 20) projects.
  • OSHA 30 training and experience writing site safety plans for general contractors.

What makes project management different at a sprinkler contractor

A sprinkler system is designed around the water supply and the ceiling, and other trades keep changing the ceiling. Much of the project manager's job is protecting the approved design.

  • A moved duct can mean a new calculation

When the mechanical contractor reroutes a duct or the architect moves a light, sprinkler heads may need to shift or more heads may need to go in. Each change can alter the hydraulic calculation and send the drawings back for review. Catch clashes in coordination meetings or a shared model, and price any redesign, resubmittal and review fees into the change.

  • Ceiling changes come as long lists

Late changes to a reflected ceiling plan or a tenant layout tend to arrive as many small moves: relocate a head, add one in a new closet, swap a finish. Price each one by the head, including the drop, the fitting and any drawing revision, and get the general contractor's signature before the crew starts. Small unsigned moves are where sprinkler margins slip away.

  • Winter jobs wait on the building's heat

A wet pipe system full of water in a building without closed walls or heat can freeze and split. In cold months, ask the general contractor when the building will be closed in and heated. Plan the hydrostatic test and the fill around that date, and leave sections drained or arrange temporary heat where the schedule can't move. OSHA's sprinkler rule, which covers systems put in to meet an OSHA standard, says the piping must be protected against freezing. Source: eCFR: 29 CFR 1910.159, Automatic sprinkler systems.

  • Bill by floor and phase

General contractors pay against a schedule of values. Split yours the way a sprinkler job is built: underground, risers and valves, mains and branch lines by floor, heads and trim, then testing and closeout. Give testing its own lines. For systems in its scope, OSHA lists the acceptance tests: flushing the underground, a hydrostatic test of the piping, air tests and valve operation on dry systems, and a drain test. Each pay request then matches work the superintendent can check. Source: eCFR: 29 CFR 1910.159, Automatic sprinkler systems.

Skills to hire for, and what you can teach

Hire for these

  • Reads shop drawings, hydraulic calculation sheets and architectural plans side by side
  • Knows NFPA 13 and how your local fire officials review and inspect work
  • Tracks hours and material against budget every week
  • Prices head moves and added work, then gets the signature first
  • Pushes back on a general contractor and keeps the working relationship

Teach these on the job

  • Your project management and accounting software
  • Your local fire officials' submittal portals and forms
  • Standpipe and fire pump work, if they've only run sprinkler jobs
  • Writing site safety plans for general contractors
  • Your closeout checklist

Expect project management software for submittals, RFIs and budgets, a PDF markup tool for drawings, and on larger jobs a shared model for clash checks. Name your software and the design program your layout team uses, so candidates know what they'll be reading.

Fire sprinkler project manager interview questions

Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.

  1. Situational · Change orders before work

The general contractor tells your foreman to add [12] heads for a new tenant layout today and says the paperwork will follow. What do you do?

A strong answer: Gets written direction under the contract before work starts, checks hydraulics and whether the AHJ needs a revision, prices it and tells the foreman what to do meanwhile.

  2. Behavioral · Protecting job margin

Tell me about a sprinkler job that lost hours to rework when ceilings, lights or other trades' work didn't match the drawings.

A strong answer: Watched hours by area weekly, caught it early, documented each conflict with photos and RFIs, recovered cost through change orders, and pushed for better coordination on the next job.

Fire sprinkler project manager KPIs

Each target in this template is blank. Base yours on your last dozen jobs so the goals fit your fire officials, general contractors and crews.

Shop drawings approved by the AHJ on first submittal
For each job, record whether the first drawing set came back approved or with comments, from your submittal log. Note the reason when it didn't, so the same miss isn't repeated.
Hydrostatic tests passed on the first try
Count tests the inspector passed without a second visit, by job and by crew, from inspection reports. Log the cause of each failure.
Sprinkler job gross margin against the estimate
At closeout, compare each job's actual labor, material and subcontract cost with the estimate, using job cost reports. Review jobs that drift each month, not only at the end.
Change orders signed before the added work starts
From the change order log, compare the date each was signed with the date crews started the extra work, and flag any work done on a verbal okay.
Days from final inspection to closeout package delivered
Count calendar days from the passed final inspection to the day the general contractor or owner received the complete package, using dates in the job file.

Fire sprinkler project manager FAQ

Who books the fitters, the project manager or the production manager?

In this template, the project manager books crews with the production manager. The project manager says what each job needs and when, based on the general contractor's dates. The production manager decides which fitters go where across every job and service call. When two jobs want the same crew, the two settle it or take it to the operations manager.

How much does a fire sprinkler project manager make?

Construction managers who work for plumbing, heating, and air-conditioning contractors earned a median of $109,150 a year ($52.47 an hour) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $93,220 and $137,820 a year. Pay also depends on your local market, experience and bonus terms.

What does a sprinkler project manager do when the AHJ sends back comments?

Log each comment, send the drawing and calculation items to the designer, and answer every point in a short response letter with the resubmittal. Call the reviewer when a comment is unclear rather than guessing. Hold fab and ordering for the areas involved, and tell the general contractor if the review will push the start date.

Can a layout technician become a sprinkler project manager?

Often, yes. The template accepts years as a sprinkler fitter or layout technician in place of project management experience. A layout technician already knows the drawings, calculations and review process. What they usually need to learn is the money side: budgets, change orders, billing and pushing back on a general contractor. Pair a new one with a senior PM for their first few jobs.

Which site tasks does a fire sprinkler project manager handle?

The template already lists them as tasks. Expect to walk active sites, climb ladders and ride scissor lifts to look at heads and hangers overhead, and carry drawing sets and sample parts. Sites are noisy and dusty, and some are hot or cold. Keep the template's accommodation line, and tell candidates how much of their week is spent in the field.
