A painting dispatcher decides which crew paints which house each day and tells every homeowner when the crew will arrive. Most jobs hold a crew for several days, so when rain stops an exterior or a job runs long, the dispatcher rebuilds the rest of the week.

In service trades, a dispatcher usually routes one technician through several short calls a day. A painting dispatcher parks whole crews at one house for days, so one wet forecast or one slow job can push back every start date after it.
One job holds a crew for days
A few rooms might take a crew a couple of days, and a full exterior longer. The dispatcher books each job by the crew-days on the estimate, then checks progress with the crew leader each afternoon. When one job runs over, every start behind it slides. A good dispatcher sees that coming and calls the next homeowners before anyone waits in an empty house.
Exterior calls look two days ahead
Rain today is only part of the question. Sherwin-Williams says the temperature should ideally stay in the product's suggested range and above the dew point for at least 48 hours after painting. It also warns that dew forms as soon as the sun sets and can seep into paint that hasn't cured. That's why a painting dispatcher reads the next two days of forecast, not just tomorrow morning, before sending a crew to an exterior. Source: Sherwin-Williams: Exterior product application FAQs.
A certified renovator can't be in two places
Disturbing more than a small patch of paint on a pre-1978 home brings in EPA's lead rule, or a state's version of it, unless testing shows the paint is lead-free. The certified renovator has to be there when the warning signs and plastic go up and again for the cleanup, and reachable by phone in between. One renovator can't cover two setups at the same hour, so the dispatcher staggers those starts and tracks whose certificates are current. Source: 40 CFR 745.90: Renovator certification and responsibilities (Cornell LII).
Cabinet jobs run in stages
A cabinet refinish isn't one visit. Often a crew removes the doors and drawer fronts on day one, labels them and takes them to the shop to spray. The boxes get cleaned, sanded and coated in the kitchen. The doors come back once they have cured. The dispatcher books each stage around the shop's spray schedule and warns the homeowner how many days the kitchen will be torn up.
Crews and subs are matched to the work
Not every crew can take every job. One sprays cabinets cleanly, another is at home on ladders and planks on a tall exterior, and a sub may only want exteriors. Subcontracted painters also juggle other contractors' work and can pass on the date you offer. The dispatcher knows each crew's strengths and gets a sub's yes before promising the homeowner a start.
Residential vs. commercial painting dispatch
Commercial painting dispatch serves a building and a general contractor instead of a family, and that changes the calendar.

How much painting dispatchers make
Dispatchers who work for building finishing contractors earned a median of $25.29 an hour ($52,610 a year) in May 2025, according to the Bureau of Labor Statistics. That’s above the $50,340 median for dispatchers in all industries. About 460 of the 202,810 dispatchers in that survey work for building finishing contractors.
Per the template: hourly pay, with bonuses for hitting targets. A natural bonus measure is crews starting on time and jobs finishing on the dates promised. Overtime comes with the exterior season.

Skills to hire for, and what you can teach
Hire for these
Keeps a multi-day schedule straight when one job moves
Clear, honest calls to homeowners about a new start date
Accurate job notes on colors, sheens, access and prep
Builds next week's board in the job app, not on sticky notes
Steady judgment when weather forces same-day changes
Teach these on the job
Paint terms: sheens, primers, prep steps and dry times
Which crews and subs take cabinets, exteriors and tall houses
Your rules for calling off an exterior day
Lead-safe scheduling steps for pre-1978 houses
How your shop schedules cabinet door spraying
Most painting dispatch runs in Jobber, DripJobs or a similar job management app, with a weather radar and the paint store's ordering site open in other tabs. Crew leaders' arrival check-ins and progress photos come back through the same app.
Painting dispatcher interview questions
They have their own page: 6 questions that test this job, what strong and weak answers sound like, and a work exercise to run with your finalists.
Use your own past seasons to set each target. Weather swings these numbers, so judge a wet April against last April rather than against July.
On-Time Crew Dispatch Rate
Crews that reach the house by the time the homeowner was given, divided by all crew starts. Have crew leaders check in on arrival in your software so the time is recorded.
Schedule Accuracy
Jobs that start and finish on the booked dates, pulled from your schedule each month. Separate rain delays from scheduling mistakes, so bad weather doesn't hide a crew-day count that was wrong.
Customer Satisfaction Rating
Survey scores sent after the final walkthrough. Sort the low ones by cause and count how many trace back to scheduling, such as a start date that moved twice or a crew that showed up without the paint.
Callback Percentage
Return trips for touch-ups or fixes after the final walkthrough, divided by jobs finished that month. Log a reason for each, such as missed spots, the wrong sheen or damage.
Does a painting dispatcher do the same job as a customer service rep?
No. The signed contract is the hand-off. Until then, the homeowner talks to the rep who books estimate visits for the sales team. From then on, the dispatcher owns the job's calendar: the start date, the crew, each stage and every update until the walkthrough. One person doing both can work through the winter. Spring is the test, when estimate requests and exterior starts pile up in the same weeks.
How much does a painting dispatcher make?
Dispatchers who work for building finishing contractors earned a median of $25.29 an hour ($52,610 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $47,500 and $61,840 a year. Pay also depends on your local market, experience and overtime.
How should a painting dispatcher handle touch-up visits?
Book them as small jobs of their own, not as favors squeezed into a crew's day. Group touch-ups by area, send the original crew leader when you can, and pull the job's labeled leftover paint before the visit. If one crew's jobs keep needing return trips, the operations manager should hear about it.
Does a painting dispatcher need painting experience?
Not to start. Hire for time spent on a schedule where one change ripples through the week, as in roofing, moving or remodeling. The painting side can be learned: how long prep and each coat take, and why a damp surface means waiting. A few days riding along with a crew leader teaches more than a manual.
How do you check a painting dispatcher's judgment before hiring?
Give them a real week. Two exteriors are booked for Thursday and rain is forecast, a cabinet job's doors come back from the shop Friday, and a sub just backed out of Monday. Ask them to rebuild the schedule out loud and name the homeowner they'd call first. Strong candidates ask about crew skills and which homeowners can move.
What should a painting dispatcher job ad say?
Put in the shift start, how many crews and subcontracted painters they'll schedule, and the software. Say who makes the final call on a doubtful exterior day, the dispatcher or a manager, and how evening weather changes get handled. Note that the exterior months bring longer days.
