What makes commercial painting dispatch different

Crews often stay on one building for weeks, so the work is in the daily changes: a floor that isn't ready, a lift that didn't come, a general contractor asking for more painters tomorrow.

  • Manpower requests change by the day

General contractors ask for more painters on one floor and fewer on another, often with a day's notice. The dispatcher moves painters between buildings to meet each request without stripping a foreman's core crew, tells the project manager what changed, and notes it in the job log. Keep a running count of who is on each site so a request can be answered in minutes.

  • Solvent products ride under hazmat limits

Thinners and solvent-based coatings can count as hazardous materials for shipping. Under the DOT exception for materials of trade, a work truck can carry them without the full hazmat rules if, among other conditions, each container of a Packing Group II or III material holds no more than 8 gallons, the gross weight of all these materials on the vehicle is no more than 440 pounds, containers are marked with a common name, and the driver is told what's aboard. Read each safety data sheet's transport section first. Source: eCFR: 49 CFR 173.6, Materials of trade exceptions.

  • Wind can ground a lift crew

OSHA's scissor lift guidance says to use a lift outside only when the weather is good, and that lifts rated for outdoor use are generally limited to winds below 28 miles per hour. Boom lifts carry their own limits in the maker's manual. Check the forecast the afternoon before an exterior lift day and have inside work ready for that crew. • Some buildings decide who can come

Hospitals, schools, airports and government buildings can require badges, escorts or a site orientation before a painter walks in. Keep a list of which painters are cleared for which site and when each clearance runs out, and check it before moving anyone. A painter sent to a site without a badge loses the day, and the GC notices.

  • Night crews need a handoff

Offices, stores and other occupied spaces are often painted after hours. The dispatcher confirms keys, alarm codes and a building contact before the shift, gives the night foreman a number to call, and reads the night crew's notes first thing so the day crew and the property manager hear about problems early.

How much commercial painting dispatchers make

Dispatchers who work for building finishing contractors earned a median of $25.29 an hour ($52,610 a year) in May 2025, according to the Bureau of Labor Statistics. That’s above the $50,340 median for dispatchers in all industries. About 460 of the 202,810 dispatchers in that survey work for building finishing contractors.

Most commercial painting dispatchers earn an hourly wage, and some get a bonus. The template's range falls under most of the BLS dispatcher pay figures for specialty trade contractors, so look at local offers first.

Skills to hire for, and what you can teach

Hire for these

  • Keeping a crew board accurate while plans change hour by hour
  • Clear, short messages to foremen, project managers and superintendents
  • Knowing which painters hold which lift, site or product training
  • Calm calls when two jobs both want one crew
  • Accurate daily logs of moves, delays and deliveries

Teach these on the job

  • Your scheduling software and crew board layout
  • Hazmat limits for carrying thinners and solvent coatings
  • Rental company ordering, delivery and pickup calls
  • Reading a general contractor's site logistics plan
  • The site access rules of your regular customers

Most dispatchers run the crew board in scheduling software, a construction scheduler or a shared spreadsheet, and reach foremen by phone, text and group chat. Put your system's name in the posting, and say if lift orders through the rental company's online account are part of the job.

Commercial painting dispatcher interview questions

Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.

  1. Situational · Healthcare site access and permits

A crew is scheduled to paint in an occupied hospital wing, but the facility's infection-control permit for the area hasn't been issued. What do you do?

A strong answer: Holds the crew out of that area, calls the PM and facility contact to get the permit and barrier requirements confirmed, moves the crew to released work, and adds permit checks to future briefings.

  2. Behavioral · Coordinating many parties

Tell me about a time you lined up a lift rental, a paint delivery and a GC's site access for the same morning.

A strong answer: Kept one contact list and schedule, confirmed each company's times in writing, and called early when anything changed.

Commercial painting dispatcher KPIs

Let your own records set the goals: log a month of crew moves and updates first, and treat the template's numbers as a sample.

On-time dispatch rate
Share of crews that start at the right site at the planned time, checked against foremen's clock-ins or the general contractor's sign-in sheet.
Crew schedule adherence
Compare each day's planned crew board with where painters actually logged their time, and note the reason for each move, such as weather, a site not ready or a manpower request.
Communication accuracy
Count crew and schedule messages that needed a fix, for example a wrong address, floor, start time or headcount, out of all messages sent that week.
Customer Satisfaction Rating
Ask the superintendent or property manager to rate scheduling and communication at closeout, kept apart from the score for paint quality.

Commercial painting dispatcher FAQ

How should a commercial painting dispatcher handle a same-day request for more painters?

Confirm the count, the floor, the start time and the work with the superintendent first. Then look for painters who can move without leaving another job short, and tell both foremen and the project manager before anyone leaves. If you can't fill it, say so right away with a time you can, since a clear no helps the GC plan more than a late yes.

How much does a commercial painting dispatcher make?

Dispatchers who work for building finishing contractors earned a median of $25.29 an hour ($52,610 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $47,500 and $61,840 a year. Pay also depends on your local market, experience and overtime.

Who calls the rental company when a lift is done?

Usually the dispatcher. The foreman reports the lift is free, and the dispatcher calls it off rent, gets the off-rent number and books the pickup. Write that number in the job log. Rental companies keep billing until a machine is called off, so a lift parked behind a building for an extra week shows up on the next invoice.

How does on-call work for a commercial painting dispatcher?

The template calls for on-call time in peak periods. In practice it means taking calls from night crews, foremen whose painters didn't show, or a superintendent who changed tomorrow's plan after the office closed. Decide how calls reach the dispatcher, what counts as urgent and the pay rate for on-call hours, and put it in writing.

What do the dispatcher template's lifting lines mean?

The 20-pound lifting line is about things like taking a case of radios or tablets, a box of job binders, or a carton of safety vests out to a truck. List them in the posting. The other physical lines describe desk, phone and computer work.
