A home staging bookkeeper posts the bills for each staged house, from the first term through monthly rent and pickup, and balances the bank and credit card accounts each month. They also pay furniture vendors and freelance help, and send the month-end numbers the owners use to set prices and plan furniture buys.

Most of a staging company's income is rent on furniture sitting in someone else's house. The books have to follow each house from the day the truck arrives until the last piece comes back.
Tie every charge to a house
One staged listing can produce a consult fee, an install invoice, months of rent, a pickup fee and a charge for a broken lamp. Code each line to the property address as a class, location or job in your accounting software. Then the owners can see what each house earned against the crew hours and truck trips it used.
A higher line for 1099s
Staging companies often pay freelance stagers, contract movers and upholstery shops who aren't on payroll. Get a W-9 on file before any money goes out. The IRS raised the Form 1099-NEC reporting line to 2,000 dollars for tax years beginning after 2025, and says it may be adjusted for inflation from 2027, so check each vendor's yearly total against the current instructions. Source: IRS: Instructions for Forms 1099-MISC and 1099-NEC.
The mileage rate changed mid-year
Designers drive their own cars to consults, furniture stores and staged houses. If you repay them at the IRS standard rate, watch the trip date: the business rate was 72.5 cents a mile from January through June 2026 and 76 cents from July 1. Ask for a log with the date, address and purpose of each trip. Source: IRS: Standard mileage rates.
Furniture orders arrive in pieces
A dining set can ship as six boxes from two warehouses, with freight billed on its own and a chair that shows up cracked. Before paying, match the purchase order, the warehouse's receiving count and the vendor's invoice. Hold the cracked chair's line until the vendor issues a credit, and follow up until it posts.

Skills to hire for, and what you can teach
Hire for these
Clean bank and credit card reconciliations in QuickBooks or a similar system
Billing that follows each contract's start date, rent period and pickup date
Steady, polite collection calls and emails to agents and sellers
Matching purchase orders, receiving counts and vendor bills before paying
Careful handling of W-9s and vendor payment records
Teach these on the job
How your staging contracts set first terms, monthly rent and pickup fees
Reading the staging or inventory software to confirm what's installed where
Real estate terms such as list date, under contract and closing
Your chart of accounts and job or class codes
Freight, damage and return claims with furniture vendors
Most staging companies keep their books in QuickBooks Online or Xero and track installs, rent and pickups in a staging or inventory app that feeds invoices. List both programs in the ad, and note whether payroll comes with it.
Home staging bookkeeper interview questions
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Collecting at closing
A listing agent said the staging fee would be paid at closing. The house closed three weeks ago, and nothing has arrived. What do you do?
A strong answer: Checks the contract for who owes the fee, contacts the agent and the title or escrow office with the invoice, sends a statement, and escalates by policy.
Behavioral · Applying payments
Tell me about a time payments from title companies, agents and sellers didn't match your open invoices, and how you sorted it out.
A strong answer: Worked through each payment against the contracts and remittance details, contacted payers about unclear ones, applied them correctly, and added a step to prevent repeats.
The template's targets are placeholders. After two or three closes, reset them to fit how many invoices you send and how fast your agents and sellers pay.
Invoice Processing Accuracy
Count invoices that needed a credit memo, a reissue or a correction after a client or vendor flagged them, out of all invoices sent or entered that month. Sort the errors by cause, such as wrong dates or missing pieces.
Account Reconciliation Completion
At the start of the month, write down each account the company holds, from bank and card accounts to loans and the merchant account. Mark each one done, with the date, once it balances and the CFO has reviewed it.
Timeliness of Financial Reporting
Log the date each monthly package reaches the CFO and owners, with the house-by-house revenue report included, and compare it with the agreed business-day deadline after month-end.
Reduction in Outstanding Invoices
Run an aging report at month-end. Divide the dollars past their due date by total open receivables, and list the houses and agents behind the oldest balances.
Career path
Accounts receivable clerkSends rent invoices and payment reminders, and learns how staging contracts bill.
BookkeeperKeeps the full ledger, pays vendors and reconciles every account.
ControllerReviews the bookkeeper's work and prepares the tax and lender reports.
Very little. The 10-pound line in the template points to light carrying: a box of old files for the storage room, a case of copy paper, or a bin of receipts from the warehouse office. Desk work fills nearly all of the week. Walk every candidate through those same tasks and talk through any change someone needs.
How much does a home staging bookkeeper make?
Bookkeeping, accounting, and auditing clerks who work for specialized design firms earned a median of $25.19 an hour ($52,390 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $43,920 and $63,230 a year. Pay also depends on your local market, experience and overtime.
How does a staging bookkeeper catch a house that never got an invoice?
Each month, pull the list of houses with furniture still in them from the staging or inventory system and compare it line by line with that month's rent invoices. A house on the list with no invoice is lost income. An invoice for a house that was already emptied will come back as a dispute. Settle each mismatch with the office manager before the invoices go out.
How should a staging bookkeeper book a deposit taken before the install?
Money taken before the crew sets the house pays for work not yet done. Ask the CFO and your CPA how to book it. Many companies hold it as a liability, often called deferred revenue, and move it to income once the install happens. That keeps a busy booking month from looking more profitable than it was.
Who should check crew hours before a staging payroll runs?
Pick one person and write it down. Many staging companies send payroll to an outside service, with the bookkeeper sending hours, reviewing the register and posting the totals. Someone still has to hold each crew's clock-in times up against the day's installs and pickups, since a long install day can tip a mover into overtime. Often the operations manager signs off on hours and the bookkeeper checks the math.
