An appliance repair chief financial officer keeps the cash plan, the budget and the monthly numbers, and shows the owners which kinds of work earn money. In this trade that means chasing brand claims and home warranty invoices, recovering parts credits, and charging sales tax right when a warranty pays.

A repair ticket looks simple, but the cash behind it may come from a homeowner, a brand or a warranty company, each on its own terms. Parts and tax add more moving pieces.
Warranty money arrives late, or not at all
Paying customers settle up at the door. Brand claims and home warranty invoices get paid later, on each partner's schedule, and some come back rejected. The CFO tracks what each partner owes, how old it is and why claims fail. Month-end books should hold back an amount for claims likely to be turned down, so revenue isn't overstated.
Sales tax can turn on who pays
Texas taxes the repair of a customer's washer or freestanding range as a service, on the whole charge, parts and labor included. Repairs under a maker's written warranty or recall aren't taxed. Keep records that prove it, and buy those parts tax-free with an exemption certificate. When an extended warranty company pays, you may take its resale certificate instead of tax, but anything the owner pays for outside the coverage is taxed. Other states draw these lines differently. Your own service plans bring their own rules
Some repair companies sell their own protection plans. In California, a repairer that sells service contracts must register with the Bureau of Household Goods and Services. Each plan must be backed by a reimbursement insurance policy or another option the law lists, and each contract form is filed with the state at least 30 days before use. These rules run until January 1, 2028 unless lawmakers extend them. The CFO prices the plans and keeps that backing in place. Parts credits are easy to lose
Cash sits in parts ordered for customers who are still waiting, in parts that came back unused, and in failed warranty parts a brand wants returned. Each return has a deadline and a credit that someone has to check. The CFO sets who ships returns, how credits are matched to the original order, and how often each branch's parts shelf and vans are counted.
Margin is earned per repair, not per visit
When a partner pays a set amount per claim, a second trip for a back-ordered part comes straight out of your margin. Paid repairs can carry the same cost if the price was quoted before the part was found. The CFO reports margin per completed repair by payer and brand, so the owners can see which programs are worth keeping.

Skills to hire for, and what you can teach
Hire for these
Has run receivables for a business paid by insurers, warranty companies or other third parties
Plans weekly cash around when each brand and warranty company actually pays
Builds job costing that shows margin by payer and by brand
Has set sales tax rules for repair work, warranty claims and service plans
Matches parts returns to credits and chases the ones that never post
Teach these on the job
Each brand's claim and payment schedule
Your home warranty contracts and how their invoices work
Distributor return rules and parts credit timing
How your field service software codes paid and warranty calls
Your technician pay and bonus plans
Expect the general ledger, your field service software's invoice and parts reports, each partner's claim and payment portal, and a sales tax tool if you file in several states. The hard part is tying one lump payment from a partner back to the claims it covers, so ask finalists how they've done that.
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Responding to parts inflation
Parts costs rose sharply this year, but the price book hasn't changed. What do you do?
A strong answer: Measures the margin hit, updates the price book and markups, explains changes to the team and watches close rates.
Behavioral · Budgeting
Tell me how you used the budget you built for a repair business once parts prices or call volume moved during the year.
A strong answer: Built it from job counts, technician capacity and parts costs, reviewed it monthly with managers, and acted when results drifted, such as cutting overtime or repricing.
Base each target on last year's closes and the budget the owners sign off on.
Revenue Growth
Year-over-year revenue by payer, with warranty revenue booked net of claims likely to be rejected. Growth that only comes with slow-paying partners can leave you short on cash.
Budget Management
Planned against actual spending each month by branch and line, such as tech labor, parts, fleet and marketing. Explain any line that misses in plain words the managers can act on.
Cost Reduction
Track cost per completed repair, not total spending, so growth doesn't look like waste. Check callbacks and second trips each time a cost is cut, to see whether the saving was real.
Compliance Score
Filings made on time and in full: payroll tax deposits, sales tax returns in each state, business registrations, and any service contract filings. Count audit findings and late notices too.
Career path

ControllerOwns the monthly close, receivables and the bookkeeping team.
It depends on the state. In Texas, the tax on a repair covers the whole charge, and separately listed charges for inspecting or testing count as part of it. Other states set their own rules for labor and for parts. Ask your CPA how your states treat a diagnostic fee when the customer turns down the repair, since that call is easy to get wrong.
How much does an appliance repair chief financial officer make?
Chief executives who work for repair and maintenance businesses earned a median of $190,390 a year ($91.53 an hour) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $116,500 and $333,930 a year. Pay also depends on your local market, experience and bonus terms.
What happens when a customer cancels a protection plan in California?
A service contract sold in California has to follow the state's cancellation and refund rules in the Civil Code. If a refund isn't paid or credited within 30 days after the company gets written notice of cancellation, the law adds interest to the amount owed. The CFO should set up a way to log cancellation notices and pay refunds on time.
Where should an appliance repair CFO look for the template's cost cuts?
Start with money that leaks without anyone noticing: parts credits never claimed, freight on parts sent back, fleet insurance and fuel cards, and software nobody uses. Then look at claims rejected for paperwork, since that labor is already spent. Van stock, training and tech hours are the last places to cut, because savings there tend to come back as second trips.
What should an appliance repair CFO job ad say about the money?
Describe how the money arrives: the mix of paid, brand warranty and home warranty work, how long partners take to pay, and how often claims come back rejected. Name the states where you collect sales tax, and say whether you sell your own protection plans.
