Callers want a designer at the house, a date for the install, or a fix for something that came out wrong. Every one of those depends on an order made for one home.
A design visit has to fit the space
The CSR asks which spaces the caller wants done, whether a walk-in, reach-in, garage, pantry or office, about how big, and what bothers them about it now. A few photos by text help the designer bring the right samples. The designer measures, draws and prices in one visit, so a walk-in or a full garage needs a longer slot than a single reach-in. Callers who'd rather not host a visit can be offered the showroom.
Install dates come from the shop's calendar
A closet can't be installed until the shop has cut, edged and staged it. The CSR offers dates only from the install calendar the operations manager publishes, and tells the customer how long the crew expects to be there, from the job's booked hours. When an order slips, the CSR calls before the old date with a new one, rather than letting the customer find out when no one shows.
A half-finished closet needs a return date
A closet waiting on one remade panel feels unfinished to the customer, and they'll call. The CSR checks the order to see whether the remake is in the shop's queue, cut or staged, and gives the date it's due back out. A second remake or a request for a credit goes to the operations manager. Warranty claims, such as a slide that fails a year later, go to the office manager with photos and the order number, so one person decides each one.
A loose wall bed is a stop-use call
A wall bed that pulls loose can fall on whoever is near it. In 2022, CPSC announced a recall of Bestar wall beds that could detach from the wall and fall on people nearby. So when a caller says a wall bed cabinet is moving, pulling away from the wall or won't stay up, the CSR tells them first to stop using it, then books the soonest visit with a lead installer and checks for a recall on that model. Source: CPSC: Bestar recalls wall beds due to serious impact and crush hazards (April 2022).
How much custom closet customer service representatives make
Customer service representatives who work for building finishing contractors earned a median of $22.33 an hour ($46,450 a year) in May 2025, according to the Bureau of Labor Statistics. That’s above the $44,770 median for customer service representatives in all industries. About 3,960 of the 2,595,750 customer service representatives in that survey work for building finishing contractors.
In the template the job is hourly, with a chance at bonuses or commission. The BLS median for this contractor group tops the template's range, so check what local offices pay. Any bonus should rest partly on after-install issues closed on time, not only on visits booked.

Skills to hire for, and what you can teach
Hire for these
Gets the space, its size and a few photos from a caller in one short call
Quotes install dates only from the calendar, and calls ahead when one slips
Makes the day-before call from the checklist and warns the dispatcher by midday about a room that won't be ready
Keeps a customer with a half-done closet informed without promising dates the shop hasn't set
Knows when a call is a safety issue, not a scheduling one
Teach these on the job
Closet, garage, pantry and wall bed product lines
Order statuses in your design program: signed, measured, cut, staged
Your consultation calendar and designer territories
Your written warranty and what to send the office manager
Your day-before checklist and reschedule rules
CSRs book consultations in the CRM or a scheduling tool, check order status in the design program, and text customers from the phone system for photos and reminders. A good test is booking two mock visits, a walk-in and a garage, for designers whose territories overlap.
Custom closet customer service representative interview questions
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Booking consultations
A caller wants help with a walk-in closet and a garage. Walk me through how you book the consultation.
A strong answer: Asks which spaces, rough size, goals, timing and who will be there, explains what the consultation includes, books enough time with the right designer and confirms in writing.
Behavioral · Handling delay complaints
Tell me about a time a customer was upset about a delay, such as a late install date. How did you handle it?
A strong answer: Listened, got the real status before calling back, gave an honest new date, offered what they could and followed up.
Custom closet customer service representative KPIs
Pull these from the CRM and the phone system each month. The office manager sets the targets from your own history, with booking calls and after-install calls counted apart.
Consultation Scheduling Efficiency
Design visits booked within your target window of the first call and held at the booked time. Log each miss and why: no designer free, wrong address, or the decision maker wasn't home.
Customer Satisfaction Rating
Survey scores after the consultation and after install, tied to the CSR who handled each call. Read the comments about booking, reminders and remake updates first.
Post-Installation Feedback Response Rate
Of the issues customers raise after install, count the ones still open at month-end. Tag each by type, such as remake, adjustment or warranty, so the slow kind is easy to spot.
Average Call Resolution Time
Talk time by call type, from the phone system. A booking can be quick, but a remake call needs the order open and a real date, so don't rush it to hit the average.
Career path
Receptionist or showroom hostGreets visitors and learns the product lines and finishes.
Customer service representativeBooks design visits, confirms installs and logs remake calls.
DispatcherBuilds each crew's day from the install calendar.
Office managerLeads the office and releases orders to the shop.
What should a closet CSR do when a customer calls to cancel?
Take the order number and the reason, and get them to the office manager within the hour, since the office holds any order still in its cancel window back from the shop. Don't argue, and don't tell the caller it's too late; that depends on the dates and the contract, and the office manager checks. Ask the customer to send the cancellation in writing too, on the form the designer left.
How much does a custom closet customer service representative make?
Customer service representatives who work for building finishing contractors earned a median of $22.33 an hour ($46,450 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $39,500 and $53,930 a year. Pay also depends on your local market, experience and overtime.
What should a closet CSR say to a caller with a move-in deadline?
Give the earliest real install date from the calendar, and explain that the clock starts once the design is signed and measured, since the shop cuts each closet to order. A date stretched to win the booking turns into an angry call later. If the date doesn't work, offer the first design visit available and let the designer and operations manager say whether anything can move.
Can a closet CSR work remotely, as the template allows?
Yes, if they can reach the phone system, the CRM and the design program's order screens from home. Plan some days in the office or showroom early on, so they see finishes, handle hardware and watch an order go from drawing to cut list. Callers ask about finishes they've only seen online, and a CSR who has held the samples answers better.
Should a closet CSR follow up after every install?
Yes, as the template says. Call or text a few days after install and ask whether every drawer, door and rod works and whether anything is missing. Log what you hear against the order. If your company asks for reviews, follow the review policy your leaders set, and make the same request of every customer, happy or not.
