A custom closet office manager keeps every order out of the shop until its paperwork is complete: signed design, deposit, final measure and release. They also build the files install crews work from, and run each customer warranty claim through to the fix.

Every closet order passes through the office on its way to the shop, and again if something needs fixing after install. A missing paper at either point costs the company a trip.
Four papers before the shop cuts
The office manager holds each order until the file has four things: the signed design and price, the deposit posted, the final measure from the lead installer, and the release once the cancel period has passed. Only then does it join the shop's queue. If the measure changed the drawing, the designer gets a new signature first. When a piece is missing, the order waits and the designer hears why that day.
The install file goes with the crew
Installers work from the file the office builds: the final drawing, the part count and hardware list, room photos from the design visit, and notes on stairs, parking, the gate or alarm code and who lets the crew in. The office manager checks each file before the dispatcher assigns a crew, so no one learns at the door that the closet is up two flights or the customer changed the start time.
Warranty claims start with the original order
Typical claims are a sagging shelf, a slide that sticks, a door that won't close flat or a loose rod. The office manager gets photos, pulls the original order to see what was installed and when, and reads it against your written warranty. Covered parts go to the shop as a warranty order. Anything else gets a priced service visit. A claims log by product and hardware maker lets the operations manager spot a bad batch of slides before more go out.
Warranty wording follows federal rules
The FTC's warranty rules reach products bought to improve a home, even once they're fastened in place. If you give a written warranty on a closet system, its title must say full or limited. It can't be voided just because the owner later added store-bought baskets or had someone else adjust a door. You can still refuse to fix damage you can show those caused. Have a lawyer check your warranty, and answer claims within it. Source: eCFR: 16 CFR Part 700, FTC interpretations of the Magnuson-Moss Warranty Act (700.1, 700.6, 700.10).
How much custom closet office managers make
The closest BLS group for custom closet office managers is First-Line supervisors of office and administrative support workers. First-Line supervisors of office and administrative support workers who work for building finishing contractors earned a median of $32.00 an hour ($66,560 a year) in May 2025, according to the Bureau of Labor Statistics. That’s below the $69,500 median for First-Line supervisors of office and administrative support workers in all industries. About 5,310 of the 1,436,680 First-Line supervisors of office and administrative support workers in that survey work for building finishing contractors.
The template makes this a salaried job with a yearly bonus. In the BLS figures for this contractor group, office supervisors earn more than that range, so price the job against nearby offices that handle custom orders. Tie the bonus to orders released complete and warranty claims closed on time.

Skills to hire for, and what you can teach
Hire for these
Has handled order paperwork where each product is built to a customer's measurements
Holds an incomplete order back from the shop, even when sales pushes
Builds install files a crew can work from without calling the office
Handles a warranty claim calmly, with photos and the original order in hand
Leads CSRs and keeps billing current in the same week
Teach these on the job
Your design program's order statuses and release step
Your written warranty and what it covers, product by product
How your shop takes warranty and remake orders
How to read the cancel date on each signed order
Your file checklist for each room type
The office works in the order screens in the design program, the CRM, QuickBooks for invoices, and a shared drive or job app that holds install files and photos. Ask candidates how they tracked an order held for a missing signature, and who they told.
Custom closet office manager interview questions
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Change orders
A customer adds a drawer bank after signing, but no one wrote up the change. Install is next week. What do you do?
A strong answer: Gets the designer to write and price it, gets the customer's signature, updates production and the invoice.
Behavioral · Office systems
Tell me about a paperwork system you improved so signed designs, change orders and payments stayed together in one job file.
A strong answer: Describes the old problem, the new system, how others adopted it and what it saved, such as fewer lost change orders.
Log a month of your own orders and claims, then set targets with the general manager.
Billing Accuracy Rate
Count balance invoices that had to be redone after they reached the customer or lender, such as a missed change order or a full balance billed while a remade part was still in the shop. Note who caught each one.
Document Turnaround Time
Hours from a request, such as a revised drawing to sign, a warranty letter or a lender's completion form, to the document going out. Log the slowest few and why.
Customer Inquiry Response Time
Time from a customer's email, text or voicemail reaching the office to a real reply, from the phone system and shared inbox. Give warranty claims and install date questions their own lines.
Office Supply Expense Reduction
Compare each quarter's office spending with the last: paper, toner, sample binders, mailers and software seats. Cut what nobody uses before cutting what designers carry to homes.
Who releases a closet order to the shop, the office or the designer?
The office, once the file is complete. The designer owns the drawing and the price, and the operations manager decides when the shop cuts it. The office manager sits between them and doesn't bend the checklist for a rush. A designer who wants to skip a step takes it up with the general manager, not the shop.
How much does a custom closet office manager make?
First-Line supervisors of office and administrative support workers who work for building finishing contractors earned a median of $32.00 an hour ($66,560 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $53,880 and $81,370 a year. Pay also depends on your local market, experience and overtime.
Should the office manager decide every warranty claim?
The clear ones, yes: a failed slide on a two-year-old closet, or a hinge the warranty plainly covers. Send the gray cases up to the general manager, photos attached, such as damage that looks like misuse, a house that has changed owners, or a part your company didn't install. Write down each decision, so the next claim like it gets the same answer.
Should a closet company bill the balance before a remade part goes in?
Decide in writing before it comes up, and check your contract and state law first. One option is to bill the balance less the value of the missing part, and bill the rest when the remake is installed. Whatever you choose, the office tells the customer in the same call that books the return visit, so the invoice doesn't arrive as a surprise.
Who claims a failed slide or hinge from the hardware maker?
The office manager, as part of the warranty claim. When a slide, hinge or lift fails under your warranty, the office records the part, the maker and the order it came from, files the maker's claim with photos, and tracks the credit or replacement until it arrives. The bookkeeper posts the credit against the same order.
