What makes janitorial dispatching different

Most dispatchers send people to customers who are waiting. A janitorial dispatcher plans in daylight for crews who arrive after the building empties.

  • Changes go out before the shift starts

Crews start when tenants leave, hours after a daytime dispatcher has planned the night. Set a daily cutoff for changes, and send each lead the route, building notes and cover assignments before it. A change made after the crews head out has to reach them by phone or text, and someone has to confirm they got it.

  • Federal buildings take badged cleaners only

A contract for a federal building may include FAR clause 52.204-9, which makes the contractor follow the agency's personal identity verification steps for workers who need routine access. A cleaner the agency hasn't approved and badged can't simply be sent in as cover. Keep a list of who holds each badge, and keep enough badged people to cover sick days. Source: FAR 52.204-9, personal identity verification of contractor personnel.

  • A tripped alarm can cost the client

Cleaners arm and disarm alarms in every building, and a wrong code or a late exit can bring police. Cities set their own alarm rules. In Nashville, for example, Metro's code allows three false burglar alarms per alarm device in a permit year, and each one after that is a chargeable violation. Track alarm calls by building and crew, and fix repeat problems fast. Source: Metro Nashville Code Chapter 10.60, burglar and fire alarm systems.

  • Day porters take daytime requests

Some contracts include a day porter, on site during business hours to restock restrooms, clean up spills and keep the lobby tidy. Send the client's daytime requests to that porter first instead of holding them for the night crew. When a building has no porter, settle with the operations manager which requests justify sending someone before evening.

How much janitorial dispatchers make

Dispatchers who work for building and home services companies earned a median of $20.94 an hour ($43,550 a year) in May 2025, according to the Bureau of Labor Statistics. That’s below the $50,340 median for dispatchers in all industries. About 1,280 of the 202,810 dispatchers in that survey work for building services companies.

Paid by the hour in most cases, with a bonus for operating results written into the template. The range shown fits within the BLS figures for building services companies.

Skills to hire for, and what you can teach

Hire for these

  • Two or more years scheduling crews, drivers or other field staff
  • A working map of your service area, or the habit of checking drive times before moving anyone
  • Written instructions a night lead can follow without calling in
  • Steady judgment when two buildings need the same cover at once
  • Keeping scheduling software, phone calls and text threads straight at the same time

Teach these on the job

  • Your buildings, their access rules and which cleaners are cleared for each
  • Alarm steps and who to call when one goes off
  • Your routing or scheduling software
  • Which clients need notice before a crew change
  • How floor and carpet projects get booked around regular routes

Dispatch runs on janitorial scheduling software with GPS clock-in, a shared calendar for floor and carpet projects, and group texts to leads. List your scheduling software in the ad, and mention any routing tool the job uses.

Janitorial dispatcher interview questions

Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.

  1. Situational · Matching training to sites

At [8 p.m.], the cleaner assigned to a medical office calls out. That site requires a cleaner trained in bloodborne pathogens. What do you do?

A strong answer: Finds a trained backup from the roster, adjusts the rest of their route, tells the supervisor, and lets the client know if the start time changes.

  2. Behavioral · Tracking many people at once

Tell me about a time you were tracking many people or jobs at once, such as crews across several sites, and one went wrong. What did you do?

A strong answer: Names how they noticed (a missed check-in, a call), fixed that one without losing track of the rest, and the change they made to catch it earlier, such as a check-in alert.

Janitorial dispatcher KPIs

Think of the template's targets as examples. Watch several weeks of your own nights, then set them.

Average Dispatch Time
Time from a logged request or call-out to a confirmed assignment, taken from the timestamps in the scheduling software or text thread.
Route Efficiency
Compare the buildings finished each night with the buildings scheduled, using the leads' closing reports, and list the reason for any left undone.
Communication Accuracy
Sample job notes and status updates each week and check them against what leads and clients report. Count wrong buildings, missed instructions and stale statuses.
Customer Satisfaction Rating
Ask client contacts to rate schedule changes and notices in your regular survey, and read the comments about timing with the operations manager.

Janitorial dispatcher FAQ

What background makes a good janitorial dispatcher?

Look at schedulers from staffing agencies, security guard companies and home care agencies. They already fill shifts at fixed sites, track who is cleared for which client, and handle call-outs on short notice. Truck or service dispatchers know routing well but may need time to learn that the work is set by contract, not by customer calls.

How much does a janitorial dispatcher make?

Dispatchers who work for building and home services companies earned a median of $20.94 an hour ($43,550 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $37,060 and $50,800 a year. Pay also depends on your local market, experience and overtime.

What should the night notes to leads include?

Start with what changed since the crew last cleaned each building: a new alarm code, a floor that's locked, or a room that's off limits for a client event. Then list the special requests the CSR logged that day and the time each client expects them done. Leave out what hasn't changed. A lead reading on a phone at the door needs the new details, not the standing ones.

Does a janitorial dispatcher work at night?

Not in this template, which sets daytime hours with some longer days and on-call time in busy periods. Name who handles overnight problems, usually a lead or field supervisor on call, and what reaches the dispatcher at night versus the next morning. A building left unfinished can wait until morning; a crew locked out of a building can't.

Why does a desk job like dispatch list lifting and field conditions?

The dispatcher spends the day at a headset and screens. Now and then they may carry a box of keys, badges or supplies to a site, stop at a building while a crew works, or sit in a loud office with phones going. Describe that mix up front, and discuss any adjustment a candidate requests.
