A remodeler runs fewer jobs than a service company, but each one lasts weeks and builds a thick file of contracts, change orders, selections and permits.
Safety data sheets for what crews open
Crews open adhesives, thinset, grout sealer, stain and spray foam inside clients' homes. Under OSHA's hazard communication rule, the data sheet for every hazardous chemical has to be readily accessible to crew members during each shift. When crews travel between houses, the sheets may stay at the shop, as long as a crew can pull up what it needs at once in an emergency. Add the new sheet whenever purchasing switches brands. Source: eCFR: 29 CFR 1910.1200, hazard communication.
The OSHA poster goes where crews report
Because construction work is spread out, OSHA says the workplace notice goes at the location where employees report each day. If your crews meet at the shop each morning to load trucks, post it there, not only in the front office where the designers sit. Source: eCFR: 29 CFR 1903.2, posting of notice.
Bill the milestone the day it's reached
Many remodel contracts tie payments to milestones such as demolition done or cabinets set. Ask project managers to mark each one in your project software the day it happens, and send the invoice that afternoon. A milestone billed a week late is a week the company carried the cost of labor and materials.
Close out every permit
Track each permit from application to final inspection. A permit left open can come up when the homeowner sells or refinances, and the call lands on you years later. Add a permit check to the final invoice step so the office confirms the final inspection passed.
Signed selections settle most arguments
Keep the homeowner's signed sheet for tile, grout color, hardware and paint in the job file, next to the change orders. When a client says the grout was supposed to be gray, the office can pull the page in a minute, and the project manager doesn't have to argue from memory.

Remodeling office manager interview questions
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Billing accuracy
A progress invoice went out with the wrong amount, and the homeowner caught it first. What do you do?
A strong answer: Apologizes, checks the correct amount against the contract and approved changes, sends a corrected invoice quickly, and fixes the step that caused the error.
Behavioral · Coaching admin staff
Tell me about a time you coached someone on your team who kept making the same errors.
A strong answer: Found the cause (training, workload, unclear steps), gave clear feedback and a simple checklist, checked progress, and acted if it didn't improve.
Use the template's numbers as a sketch. Set each target from a month or two of your office's own task and billing records.
Billing Accuracy
Count invoices sent back for correction, by a homeowner or the bookkeeper, against all invoices sent. Note whether the error came from a missed change order, an allowance or a wrong milestone.
Daily Operations Efficiency
List the office's recurring tasks and deadlines in a shared task tool, and check each week how many were done on time. Watch for the same task slipping.
Client Communication Response Time
Measure from a homeowner's email, text or voicemail to the office's first real reply, using time stamps in your inbox or CRM. Count only messages the office owns.
Staff Productivity
Use the same task list to compare finished tasks per person with what was assigned. Talk through misses one on one rather than posting a ranking.
Career path
Design assistant at a kitchen and bath showroomLearns products, special orders and how homeowners decide.
Project coordinatorTracks selections, orders and permits for several remodels.
Office managerOwns invoices, job files and the front desk staff.
General managerRuns the company's daily business with the department heads.
What should a remodeling office manager do when a homeowner disputes an invoice?
Pull the contract, the signed change orders and the selection sheet before calling back. If the paperwork answers the question, explain it plainly and send copies. If it doesn't, bring in the project manager, and take any discount request to the general manager rather than deciding it at the front desk.
How much does a remodeling office manager make?
First-Line supervisors of office and administrative support workers who work for residential builders and remodelers earned a median of $34.00 an hour ($70,720 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $53,830 and $91,480 a year. Pay also depends on your local market, experience and overtime.
Does a remodeling office manager buy materials for jobs?
No. Cabinets, tile, lumber and fixtures go through the project managers or a purchasing lead and are charged to the job. The office manager buys office and shop supplies, looks after the copier and phones, and makes sure supplier invoices reach the bookkeeper coded to the right job.
What should be in the file before a remodel starts?
A signed contract, the deposit recorded, signed selections for anything ordered, the permit number and the homeowner's contact preferences. The office checks the list a week before the start date and flags gaps to the project manager and dispatch, so the crew doesn't show up to a job that's missing a piece.
What physical work sits behind the remodeling office manager's 20-pound line?
Carrying cases of copy paper, boxes of brochures for a home show booth and sample boards, and walking the office and shop to check supplies and equipment. Rearranging storage shelves or setting up a new desk is the occasional light physical work the template mentions. Most of the job happens at a computer.
