What a window and door CSR handles that others don't
Most calls are about one of two things: a consultation for new windows or doors, or a problem with ones already in. The age and location of the house change what the CSR asks.
Ask the year the house was built
EPA's lead-safe renovation rule covers most window work on houses from before 1978. Asking the year built on the first call lets the office flag the job early, because the rule requires the owner to receive EPA's lead pamphlet before work starts, backed by a signed receipt or proof of mailing. If the caller doesn't know, note that so the sales rep can check. Source: eCFR: 40 CFR 745.84, Information distribution requirements (EPA lead renovation rule).
Rentals add a second contact
Landlords and property managers book window work too. If the owner lives elsewhere, EPA's rule says the pamphlet also goes to an adult living in the unit. That tenant signs for it, or, if no adult will sign, the company certifies in writing that it was left at the home. Take the tenant's name and phone number at booking, and ask who will let the crew in. Source: eCFR: 40 CFR 745.84, Information distribution requirements (EPA lead renovation rule).
Historic districts can need approval
Some cities review window changes on older homes. In Mobile, Alabama, for example, a 2022 Architectural Review Board agenda listed a request to replace wood windows with vinyl, filed after the new windows were already in. When a caller mentions a historic district, note it on the lead so the sales rep and office check the city's rules before anything is ordered. Warranty calls need the symptom and the label
Fog between the panes, a sash that won't stay up and a door that drags each need a different fix. Ask what the caller sees, which room, and roughly when it was installed. Then ask for photos of the problem and of any label or code on the glass or frame. Good notes mean the service tech brings the right part the first time.
The prep call before install day
The day before an install, walk the homeowner through prep: take down blinds and curtains, clear the sills, move furniture back from each opening, and plan for pets. Ask about alarm sensors on windows or doors, since the alarm company may need to come out. A crew that spends its first hour moving a dresser starts the day behind.
How much windows & doors customer service representatives make
Customer service representatives who work for building finishing contractors earned a median of $22.33 an hour ($46,450 a year) in May 2025, according to the Bureau of Labor Statistics. Hourly pay is normal, and the template adds a quarterly bonus. For window and door CSRs, that band stays under what BLS shows as the median at building finishing contractors, so price it against local job ads before you post.

Windows & doors customer service representative interview questions
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Handling price questions
A caller wants to know what a new window costs before they'll book a consultation. What do you tell them?
A strong answer: Explains honestly that price depends on size, style, glass and install type, shares what company policy allows, describes what the visit includes and how long it takes, and offers times.
Behavioral · Staying accurate when busy
Tell me about a time you handled a lot of calls in a short stretch. What did you do to keep details straight?
A strong answer: Names specific habits, such as entering notes during the call, reading details back, and finishing records before taking the next call.
Windows & doors customer service representative KPIs
The template's targets are samples. Look at your own call logs and bookings for a month, then pick numbers your phone volume and staffing can support.
Call Response Time
Use the phone system's report on time to answer for calls that ring to the CSR line. Break it out by hour to see when callers wait longest.
Appointment Scheduling Accuracy
Audit a sample of booked appointments each week. Errors include a bad address, a co-owner left off the visit, the wrong product or opening count, or a slot that clashed with the rep's or crew's calendar.
Customer Satisfaction Rating
Ask every customer the same survey question after a consultation or service visit, whatever the outcome, and go over the comments with the CSR each month.
Callback Resolution
Count repeat calls on an issue the CSR had marked handled. Tag the reason, such as a missed callback, a wrong part or an unclear date.
Career path

Windows & doors customer service representative FAQ
Should the CSR book a consultation when only one homeowner can be there?
Set a house rule and write it into the call script. In-home window sales cover styles, price and payment in one visit, so it helps to have everyone who signs off on the purchase in the room. If a spouse or co-owner can't make it, offer the next slot that works for both. Track how often the CSR has to rebook so the sales manager sees it.
How much does a windows & doors customer service representative make?
Customer service representatives who work for building finishing contractors earned a median of $22.33 an hour ($46,450 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $39,500 and $53,930 a year. Pay also depends on your local market, experience and overtime.
What should the CSR do when a door won't lock after an install?
Treat it as a same-day problem, because the house can't be secured. Get the dispatcher on it right away and tell the homeowner when someone can come. Ask whether the latch, the lock or the door itself seems off, and add the install date and crew to the ticket so the operations manager can see if it's a pattern.
Can a window CSR suggest more work on a service call?
Yes, when it's useful and honest. A caller fixing one drafty window may want a price on the rest of the house or the patio door. The CSR's job is to book the consultation, not to quote. Keep a few questions in the script that raise it without pressure, and log those bookings so the quarterly bonus can count them.
For a window CSR, what tasks match the template's vision, hearing and lifting wording?
Reading the schedule and customer records on screen, hearing callers clearly on the phone or a headset, and carrying a stack of brochures to the front desk now and then. List those tasks in the job post. Then ask each applicant if they can do them with a reasonable accommodation or without one.
