Books for floors finished in a day

Most floors go from signed contract to paid invoice in days, not months. The bookkeeper keeps pace with that, and with the kits, tooling and crew hours each floor uses up.

  • The invoice goes out with the crew

Most garage floors are done in one or two days. If your company collects the balance at the walk-through on the last day, the bookkeeper builds the final invoice from the lead's sign-off: square feet coated, the system, any add-on the homeowner signed for, such as extra crack repair, and the deposit already paid. A card payment taken in the garage is matched to that invoice the same day, so nothing sits waiting for the weekly batch.

  • A maker's warranty can wait on payment

Coating makers can tie their product warranty to getting paid. APF's warranty statement, for example, says no warranty takes effect until its terms of sale are met, payment included, and a claim needs proof of purchase. So the bookkeeper pays coating suppliers on their terms and files each invoice where it can be found by the product and lot that crews log on each job. A late bill can cost far more than a late fee. Source: APF Polymer Surfaces: Polyaspartic 7500 Low Odor product data sheet and warranty (July 2025).

  • Grinders are assets, diamonds are supplies

The IRS de minimis safe harbor lets a business without an applicable financial statement, such as an audited one, deduct items costing up to 2,500 dollars per invoice or item, if its books expense them the same way and the election goes with that year's return. Diamond tooling, rollers, squeegees and most hand grinders fall under that line. A walk-behind grinder, a dust collector or a trailer usually costs more, so it goes on the asset list for the CPA to depreciate. • Crew time starts and ends at the shop

Coating crews load grinders, dust collectors and kits at the shop, and may drive back at day's end to unload leftover kits and waste. Federal wage rules count the drive from a place the worker must report to, to get instructions or pick up tools, as hours worked. When the crew has to return to the shop afterward, that drive counts too. Before payroll, the bookkeeper checks that each time card starts when the crew began loading at the shop, not at the first garage. Source: eCFR: 29 CFR 785.38, travel that is all in the day's work.

Skills to hire for, and what you can teach

Hire for these

  • Sends a final invoice the same day from the lead's sign-off and photos
  • Ties every card payment taken in a garage to its invoice before the day ends
  • Pays supplier bills on their terms and can pull any invoice by product lot
  • Knows which purchases go on the asset list and which get expensed
  • Checks crew time cards against clock-in locations before payroll runs

Teach these on the job

  • What goes into each of your coating kits
  • Reading a coating distributor's invoice, with its freight and lot lines
  • Your CRM's job stages and how they reach the books
  • Your crew bonus rules for quality and finished jobs
  • The asset and depreciation list your CPA keeps

Expect QuickBooks or similar accounting software that pulls sold jobs over from the CRM, a card reader the crew uses in the garage, and a payroll app that records crew clock-ins with GPS. Excel, which the template names, covers the rest, such as a kit cost sheet by system.

Floor coating bookkeeper interview questions

Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.

  1. Situational · Merchant reconciliation

Your card processor deposit is lower than the card sales you recorded. What do you do?

A strong answer: Matches deposits to batches, accounts for fees, refunds, holds and timing, and follows up on anything still unexplained.

  2. Behavioral · Fixing root causes

Tell me about a time you found a billing error that kept happening, such as wrong prices or payments posted to the wrong job. How did you fix the cause?

A strong answer: Traced it to its source, like an outdated price list or a skipped step, fixed that step, and checked later invoices to confirm it stopped.

Floor coating bookkeeper KPIs

Keep commercial floors billed on terms apart from garage jobs paid at the walk-through, or the slow payers blur every number. Base targets on your company's recent closes.

Accuracy Rate in Financial Documentation
The CFO pulls a set of entries each month, such as final invoices, coating bills and equipment purchases, and checks each against the sign-off, invoice or receipt behind it. Report the misses by cause.
Billing Processing Time
Hours from the lead's completion sign-off to the final invoice reaching the customer, from the CRM's time stamps. Show floors held for a missing signature or photo on their own line.
Account Reconciliation Completion Rate
How many bank, card processor and supplier accounts were fully tied out on the agreed close date, against how many there are. A card batch holding a payment that matches no floor leaves that account open.
Reduction in Outstanding Invoices
The month-end list of unpaid final invoices, by age and reason, such as a touch-up the homeowner is waiting on. Commercial floors on payment terms go on their own line.

Floor coating bookkeeper FAQ

How should coating kits be charged to each floor?

From the crew's material log, at what the company paid, freight included. Each opened kit, box of flake and tub of patch goes to the floor it was used on. Unopened kits go back into stock at the same cost. A kit that was mixed and then thrown out stays on that job, so waste shows up where it happened. Get the log from the warehouse or operations manager each day.

How much does a floor coating bookkeeper make?

Bookkeeping, accounting, and auditing clerks who work for building finishing contractors earned a median of $25.33 an hour ($52,680 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $43,500 and $62,420 a year. Pay also depends on your local market, experience and overtime.

How do you book a maker's credit on a failed floor?

Post it against the redo job. Coating makers such as APF limit a claim to refunding or replacing the product, so the credit or the free kits offset only the material line. The crew days, grinding, tooling and drive stay on the job as warranty cost. That way the CFO sees what the failed floor really cost, not just what the maker gave back.

What do the bookkeeper template's sitting, standing and lifting lines cover?

Desk work, mostly: long stretches at a computer, sitting or standing, during billing and the close. The lifting means boxes of files and printed supplier invoices of up to 10 pounds. A rare job site visit could mean joining the field supervisor at a home where the billed square footage is in dispute. Write those tasks beneath the template's lines, and invite requests for accommodation.

What hiring exercise fits a floor coating bookkeeper?

Build a made-up job folder. Put in a signed contract with an add-on for extra crack repair, a final invoice that leaves the add-on off, a card payment with no job attached, and crew time cards that start at the first garage though the truck left the shop earlier. Ask what they'd correct first, what they'd ask the lead, and what they'd hold until the CFO weighs in.
