Floor coating dispatcher job description

A floor coating dispatcher turns the operations manager's crew plan into each day's board: which crew, grinder and kits go to which floor. When a slab fails its moisture test or a customer cancels, they rework the board, fill the open day from customers ready to go early, and get spare gear to crews.

Keeping coating crews on floors

Each crew spends a day or two at one house, with gear that has to work and a slab that has to pass its tests. When any of that fails, the dispatcher has hours, not days, to give the crew something else to do.

  • A list of customers ready to go early

A slab that fails its moisture test, or a customer whose garage isn't cleared, can leave a crew idle by mid-morning. Keep a list of sold customers who said they could take an earlier date on short notice. Note whether each garage is already empty and whether a new slab has passed its cure wait. When a day opens, the dispatcher calls down that list before sending the crew home. Source: Rust-Oleum: EpoxyShield Garage Floor Universal Tint Base technical data sheet (ESH-48).

  • The right crew and grinder for each floor

Not every crew runs every system. A metallic or quartz floor, or a large commercial job, goes to a lead trained on it. Basements need gear that fits down the stairs, and a big shop floor may need the company's largest grinder. The dispatcher puts grinders, collectors and trailers on the board along with people, so two crews never count on the same machine.

  • A failed dust collector stops the grind

Crews that follow OSHA's silica table pair each walk-behind grinder with water, or with the dust collector the grinder's maker recommends, running at full airflow with its filter-cleaning system working. When a collector quits or a filter clogs mid-job, that crew is off the table until it's fixed. So the dispatcher tracks collectors and spare filters on the board like grinders, and gets a replacement to the site before grinding goes on. • Builder garages run on the builder's dates

When a home builder offers coated garages, the floor goes down between the other trades and the closing. The dispatcher books it with the builder's superintendent: the day the garage will be clear, whether power and a lockbox code are ready, and the pour date of the new slab, so the coating's cure wait has passed. If drywall or a driveway pour runs late, the date moves on the builder's word, not the buyer's. Source: Rust-Oleum: EpoxyShield Garage Floor Universal Tint Base technical data sheet (ESH-48).

How much floor coating dispatchers make

Dispatchers who work for building finishing contractors earned a median of $25.29 an hour ($52,610 a year) in May 2025, according to the Bureau of Labor Statistics. That’s above the $50,340 median for dispatchers in all industries. About 460 of the 202,810 dispatchers in that survey work for building finishing contractors.

Hourly pay and bonuses for efficient, on-time projects, as the template lists them. The template tops out just below the BLS median for dispatch work at building finishing contractors, a small group in the data, so someone who has scheduled crews before will likely ask for the top.

Skills to hire for, and what you can teach

Hire for these

  • Has scheduled crews on jobs that last a day or more
  • Fills an open crew day by phone within the hour
  • Tracks grinders, collectors and trailers on the board with the people
  • Gets the same new plan to crews, customers and CSRs fast
  • Logs why each job didn't start, in plain words

Teach these on the job

  • Your coating systems and which leads are trained on each
  • What each grinder and collector can handle
  • Your rules for holding a job on a damp or new slab
  • Your builder accounts and their superintendents
  • Your scheduling app, GPS and crew group texts

The board lives in a scheduling app like Jobber, Housecall Pro or the CRM's install calendar, beside truck GPS and a group text with every lead. Keep an equipment list showing each grinder's and collector's status on the same screen as the crews.

Floor coating dispatcher interview questions

Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.

  1. Situational · Failed readings

A crew calls: moisture readings in the garage are over the maker's limit. What do you do?

A strong answer: Tells them not to coat, loops in sales and the customer, reschedules, and moves the crew to another job if possible.

  2. Behavioral · Rebuilding the day

Tell me about a day when weather or site conditions forced you to rebuild the whole schedule.

A strong answer: Explains how they decided which jobs could still run, who they called first, and how they kept customers and crews informed.

Floor coating dispatcher KPIs

Log every job that didn't start as planned with one cause, such as a damp slab, a customer not ready or a broken machine. A season of those notes shows which targets are fair.

On-time project start rate
Floors where the crew arrived and started on the booked day and time, out of all floors booked. Customer-requested moves get a separate line, apart from starts the board missed.
Crew utilization rate
The share of paid crew time that went into grinding, patching or coating, from time cards and GPS stops. Show idle time from failed slabs and cancellations, and the hours the early-start list won back.
Project delay incidents
Each month, count floors that began or wrapped up after the promised day, tagged by cause: weather, slab, equipment, customer or scheduling. Only the last one belongs fully to the dispatcher.
Customer satisfaction rating
Survey answers about the start date, arrival time and notice of changes, read apart from answers about the finished floor. Check low scores against the board for that day.

Floor coating dispatcher FAQ

Who decides to hold a crew for weather or a damp slab?

Not the dispatcher. Weather is the operations manager's call, made from the coating's data sheet, and the lead installer holds a job when the slab fails its test. The dispatcher's part comes next: rework the board, tell the CSR which customers need a call, and fill the crew's day from the early-start list.

How much does a floor coating dispatcher make?

Dispatchers who work for building finishing contractors earned a median of $25.29 an hour ($52,610 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $47,500 and $61,840 a year. Pay also depends on your local market, experience and overtime.

Who calls the customer when a floor's start date moves?

Whoever your rules name, but the dispatcher sets what they say. The family has often cleared the garage and moved cars for the crew. So give the new date, the reason, and whether they can use the garage in the meantime, all in one call. When the cause is a failed slab, the estimator explains the fix and any change to the price.

What does the dispatcher template's walking line mean here?

Some days the fastest fix is to drive it over: a spare filter, a missing kit or a part for a grinder. The dispatcher may also walk a large commercial floor before the crew's first day to see the doors, power and parking. Describe those trips in the ad, say whose vehicle is used, and offer accommodation to anyone who asks.

What test shows whether a dispatcher can run your board?

Print a real week's board with the names changed and plant three problems: two crews counting on the one large grinder Thursday, a metallic floor given to a lead not signed off on metallics, and a builder garage booked before its slab's cure wait ends. Ask the candidate to find them and fix the week. Then ask which fix they'd clear with the operations manager first.
