What changes for a bookkeeper at a commercial pest control company

Posting and reconciling work the same way anywhere. Here, state pest control licenses, take-home trucks and big institutional clients add their own entries and deadlines.

  • Delaware ties the license to the policy

Delaware pest control business licenses expire on December 31. They end sooner if the company's liability policy runs out. The state wants proof of general liability coverage that includes completed operations, and renewals that arrive after January 1 pay a late penalty. A missed premium can end the license. Pay that policy on time and send any cancellation notice to the CFO the day it arrives. Source: Delaware Department of Agriculture: pesticide business licenses.

  • Connecticut's registration year starts in September

A Connecticut pest control business registration runs from September 1 through August 31 and must be renewed every year. A business that employs more than one certified applicator, supervisory or operational, pays a yearly fee. Each extra place of business or business name in the state registers and pays on its own. Renewal notices go out 90 days ahead, so set the renewal up as a recurring bill in early summer. Source: Connecticut DEEP: pesticide business registration.

  • Take-home trucks can show up on the W-2

Many route techs drive a company pickup or van home. IRS Publication 15-B calls it a qualified nonpersonal use vehicle only when it's specially modified so personal use is unlikely. Use of that kind of vehicle is a tax-free working condition benefit. Otherwise, personal use, commuting included, is generally valued and added to wages. The commuting rule needs a written policy. Ask your CPA which rule fits your trucks. Source: IRS Publication 15-B, Employer's Tax Guide to Fringe Benefits.

  • Federal sites pay by federal rules

A VA hospital or other federal building on your routes pays under the Prompt Payment rules. The agency must send back an improper invoice with every reason it can't be paid, generally within seven days. It pays interest on its own when it pays a proper invoice late. Match each federal invoice to the contract's terms, log any that come back, and check that late payments include interest. Source: eCFR: 5 CFR Part 1315, Prompt Payment.

  • Your devices sit in the client's building

Bait stations, traps, fly lights and remote rodent monitors can stay at a client site for years. Settle with the CFO whether each type is owned by the company, sold to the client or rented, and book it that way. When a contract ends, pull the device list for that site so the final invoice includes any buyout or removal charge the contract allows.

Skills to hire for, and what you can teach

Hire for these

  • Recurring billing across many sites, each with its own terms
  • Bank, card and loan reconciliations kept current
  • Payables for chemical distributors, fuel cards and truck repair
  • Polite, firm collection calls to facility and payables staff
  • Working skill in QuickBooks, Sage or a similar ledger

Teach these on the job

  • The billing screens in your field service software
  • How each contract sets visit frequency and device counts
  • State license, registration and insurance renewal dates
  • Which clients want purchase orders or portal uploads
  • Service ticket terms such as bait station and fly light

Expect a ledger such as QuickBooks or Sage linked to pest control software like PestPac or GorillaDesk, which turns finished service tickets into invoices. Name both in the posting, along with any client portals where invoices must be uploaded.

Commercial pest control bookkeeper interview questions

Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.

  1. Situational · Slow-paying accounts

A property management client hasn't paid in [90] days and says the invoices never reached the right person. What do you do?

A strong answer: Confirms the correct billing contact and PO, resends with backup, sets up portal access, and talks with sales and operations before any service hold.

  2. Behavioral · Cleaning up receivables

Tell me about a time you cleaned up a messy set of receivables.

A strong answer: Sorted by age and cause, fixed billing errors, worked the oldest accounts with a plan, and shows the drop in past-due balances.

Commercial pest control bookkeeper KPIs

Start with the template's goals, then reset them after a quarter from your own invoice counts, client payment terms and close calendar.

Invoice Accuracy Rate
Divide the invoices that later needed a credit, a reissue or a dispute by all invoices sent. Group the misses by cause: wrong visit count, missing PO or wrong tax setting.
Account Reconciliation Timeliness
Record the date each bank, card and loan account is reconciled and compare it with the close calendar. Items left unmatched for more than a cycle go on a list the CFO reviews.
Payment Processing Speed
Log the date each vendor bill arrives and the date it's entered and sent for approval. Report the oldest open bills weekly, starting with chemical suppliers and fuel cards.
Financial Reporting Accuracy
Track every correction the CFO or the outside accountant makes after each close, plus year-end adjustments. Look for patterns each quarter and fix the setup behind them.

Commercial pest control bookkeeper FAQ

Who should track license and insurance renewals, the bookkeeper or the office manager?

Split the job. The office manager keeps the renewal calendar and files the forms with each state. The bookkeeper pays the fees and premiums on time and tells the office manager right away when a policy is canceled or a payment fails. Go over the list together each month, so neither person assumes the other one paid it.

How much does a commercial pest control bookkeeper make?

Bookkeeping, accounting, and auditing clerks who work for pest control companies earned a median of $23.71 an hour ($49,320 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $37,580 and $62,630 a year. Pay also depends on your local market, experience and overtime.

What audits does a commercial pest control bookkeeper help with?

Several kinds. Insurers often audit payroll or sales after the policy year to settle the final premium. A state tax agency can review sales tax or gross receipts filings. Some large clients check a vendor's records before they renew. The bookkeeper pulls the invoices, payroll detail and reports each one asks for, and the CFO answers the questions.

How should a bookkeeper apply one check that covers many client sites?

Ask the client for a remittance list, then apply the money to each site's invoices instead of the oldest balance. A misapplied payment makes one store look paid and another look late, which leads to wrong collection calls and service holds. When a chain pays short, list the site and invoice it skipped and send that list to the client's payables contact.

Should the bookkeeper put a late-paying client on service hold?

Not alone. A food plant or hospital that loses service can fail an audit or an inspection. That fallout lands on your company too. The bookkeeper sends past-due accounts to the CFO with the aging report and notes from each contact. The CFO and general manager decide on any hold and give notice the way the contract says.

What do the lifting, vision and hearing lines mean for this bookkeeper?

The lifting covers moving file boxes, cases of printer paper and the odd records carton headed to storage. Vision and hearing come in when reading invoices, statements and screens closely and taking client and vendor calls. Ask each finalist how they'd handle those tasks, including with tools such as screen magnifiers or a headset.
