Exterior cleaning bookkeeper job description

An exterior cleaning bookkeeper records the money behind house washes, roof treatments and storefront flatwork: chemical and parts bills, card deposits, payroll inputs and month-end reconciliations. They log wash engine fuel apart from road fuel, sort rig purchases from supplies, and hand the CFO numbers clean enough to plan with.

What exterior cleaning adds to the bookkeeping

Three things set these books apart: gas engines that drive the pumps, trailers built up into wash rigs, and crews whose day can end at nine when rain rolls in.

  • Fuel burned washing can come back as a credit

Fuel used for cleaning is on IRS Publication 510's list of off-highway business uses, so the business may get the federal fuel tax on it back as a credit or refund. That covers gas for a pressure washer's own engine, and fuel for a separate motor that runs a pump on a truck. If that motor shares the truck's tank, the IRS accepts a reasonable estimate of its share, backed by records. So the bookkeeper logs every can fill by rig and date, apart from road fuel. Source: IRS Publication 510: Excise taxes (rev. December 2025).

  • A rig is equipment; a nozzle is a supply

A trailer with a water tank, pump, hose reels and a soft wash system is equipment your CPA will likely depreciate. Nozzles, O-rings and trigger guns wear out quickly. IRS rules treat property that lasts 12 months or less, or costs two hundred dollars or less, as materials and supplies. A business can also elect each year to deduct items under a set limit per invoice or item. Code every part to the rig it went on, and keep invoices itemized. Source: IRS: Tangible property final regulations.

  • Rain can send crews home before nine

A crew may load a rig, wait out a shower at the shop, then get sent home. Under federal rules, a crew told to stand by is "engaged to wait," and that's work time. Some states add a floor. In New Hampshire, for example, an employee who reports to work at the employer's request gets at least two hours' pay at the regular rate, unless the employer made a good-faith effort to tell them not to come. Coding rain-day hours on their own shows the owner what weather cost. Source: New Hampshire RSA 275:43-a: Required pay.

  • Commercial washes get their own job cost

A house wash takes one crew part of a day. A shopping center's sidewalks or a parking deck can run several nights, with a rented lift, a water trailer, a reclaim vacuum and night shifts. Set each commercial project up as its own job and post every rental bill, fuel fill and crew hour to it. That shows the CFO whether the bid covered the work before the company bids the next one.

How much exterior cleaning bookkeepers make

The closest BLS group for exterior cleaning bookkeepers is bookkeeping, accounting, and auditing clerks. Bookkeeping, accounting, and auditing clerks who work for building and home services companies earned a median of $22.50 an hour ($46,790 a year) in May 2025, according to the Bureau of Labor Statistics. That’s below the $50,670 median for bookkeeping, accounting, and auditing clerks in all industries. About 17,470 of the 1,373,680 bookkeeping, accounting, and auditing clerks in that survey work for building services companies.

The bookkeeper template lists a salary and a bonus for performance. Its month-end overtime is still owed unless the job passes the duties test for an exemption, which paying a salary doesn't settle, so ask your CPA or lawyer. Reward a clean, on-time close rather than profit, which rides on the weather.

Skills to hire for, and what you can teach

Hire for these

  • Closes a month on schedule, with payroll inputs checked against timecards
  • Keeps fuel and equipment records clean enough to back a tax claim
  • Codes each purchase to the right rig, job or account the first time
  • Reads a supplier statement line by line and questions what doesn't match
  • Has kept books for a seasonal business with a short, busy stretch
  • Keeps pay figures private in a shop where crews compare notes

Teach these on the job

  • Your rig list, and which wash engines have their own fuel tanks
  • Names on chemical bills, such as sodium hypochlorite and surfactants
  • Your rain-day pay rule and how crews log waiting time
  • How commercial projects are set up as jobs in your software
  • Your CPA's choices on equipment, supplies and the yearly expensing election

Expect QuickBooks or Sage, both named in the template, fed by invoices and payments from your field software, plus fuel card statements and bills from chemical and parts suppliers. A candidate who has kept fuel logs for off-road gear, on a farm, a landscaping crew or at a rental yard, will pick up your system quickly.

Exterior cleaning bookkeeper interview questions

Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.

  1. Situational · Commission payroll

Technicians earn a commission on each job instead of an hourly wage. What do you check before payroll goes out each week?

A strong answer: Checks that each tech's pay covers minimum wage for every hour worked, including drive time between jobs, figures overtime with commission in the regular rate unless counsel confirms an exemption, and flags gaps to the owner.

  2. Behavioral · Accuracy

Tell me about a time you found a mistake in your own entries after a report had gone to the owner. What did you do?

A strong answer: Told the owner promptly, gave corrected figures, explained the cause, and changed a step in their routine so it wouldn't repeat.

Exterior cleaning bookkeeper KPIs

Run all four for one full busy month before you settle on targets. A bookkeeper who keeps up in March can fall behind in June, when deposits and supplier bills peak.

Accuracy of financial entries
The CFO pulls a monthly sample and traces each entry to its bill, receipt or deposit. Count a wrong account, a wrong rig, or road fuel booked as wash engine fuel as one error each.
Timeliness of reconciliations
For each month, log the business day the last account was tied out, fuel and supplier card accounts included. If a summer close slips, find the last account to tie out and fix what slowed it.
Financial reporting
Count the changes the CFO makes after the monthly report goes out, with the cause of each. Late supplier credits and equipment buys booked as supplies are common causes here.
Invoice processing
Check the payment date on every bill due this month against its due date. Pay the chemical supplier first, since a credit hold there can park every soft wash rig.

Career path

  1. Accounts payable clerkPays supplier bills at a service company or a chemical or equipment dealer.
  2. BookkeeperKeeps fuel, rig and job costs straight through the busy months.
  3. ControllerOwns the close, the bank reports and what the outside accountant needs at tax time.
  4. Chief financial officerTakes on lenders, budgets and the numbers the owners review.

Exterior cleaning bookkeeper FAQ

Does the fuel credit cover a hot water unit's burner?

It can. IRS Publication 510 lists undyed diesel fuel and undyed kerosene used for cleaning purposes among the nontaxable uses that can earn a credit or refund. Dyed fuel is generally sold without the tax, so there's nothing to claim back on it. Keep burner fuel on its own log, note which kind you bought, and let your CPA decide what to claim.

How much does an exterior cleaning bookkeeper make?

Bookkeeping, accounting, and auditing clerks who work for building and home services companies earned a median of $22.50 an hour ($46,790 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $40,700 and $56,960 a year. Pay also depends on your local market, experience and overtime.

What weekly numbers should the bookkeeper send in season?

One page is enough: the week's deposits by service, invoices still unpaid from jobs done with nobody home, supplier bills due in the next two weeks, rain-day hours paid, and anything that didn't reconcile. The CFO turns those facts into the cash forecast, and the owner sees trouble while there's still time to act.

Can the bookkeeper work from home some days?

The template leaves room for it once the bookkeeper has proven reliable. What decides it here is the shop's paper: rig fuel logs, signed chemical delivery tickets and receipts crews hand in at load-out. If someone scans or photographs those into a shared folder each day, much of the week can be remote. Keep close days in the office, when a question about a rig or a delivery needs a quick walk to the shop.

Who should sign for chemical deliveries?

Someone at the shop who can count the drums or check the tote, such as the shop lead or the operations manager. The bookkeeper pays only bills that match a signed ticket and sends the rest back to whoever ordered. A drum short on a big delivery is easy to miss, and so is a repair bill for work nobody asked for. Keeping the signing and the paying in different hands also makes a fake supplier much harder to slip in.
