A handyman company bills a long stream of small jobs, many of them mixing labor, parts and a trip fee. That changes how the books get coded, matched and closed.
Work on the house: tax on materials, not the invoice
In Kentucky, a company that repairs or installs things fixed to a house, such as a faucet, a door or a light fixture, works as a contractor. It pays tax on those materials when buying them, and it can't bill sales tax as a separate charge. A freestanding refrigerator it sells and delivers is a retail sale, so tax goes on that invoice. The bookkeeper sets up item codes so each line on a mixed visit lands right. Source: Kentucky 103 KAR 26:070, contractors.
Lettered work vans and the trip log
Federal tax rules call for records backing up the business use of most pickups and vans. A van can fall outside them when it's been changed so personal use is unlikely, such as one with only a front bench, shelving that fills most of the cargo area, equipment aboard at all times and the company name painted on. The bookkeeper keeps photos of how each van is fitted and asks the tax preparer which ones qualify. Source: eCFR: 26 CFR 1.274-5, paragraph (k)(8) on trucks and vans.
Repairs to belongings follow their own tax rule
Kentucky treats a business that repairs furniture or other belongings as a retailer of the parts it sells, and tax then covers the parts and the labor to install them. When parts and materials are worth less than a tenth of the repair's total value, the repairer is the consumer instead and pays tax when buying them. Labor with no part sold isn't taxed. The bookkeeper sets codes for all three cases and keeps them apart from work on the house. Source: Kentucky 103 KAR 27:150, repairers of personal property.
Supply runs need a job number
Techs often stop at a hardware store or supply house between visits and pay with a company card. Ask them to photograph the receipt and tag it with the job number in the field app the same day. A bookkeeper who chases untagged receipts every week keeps materials on the right jobs and catches personal purchases before they pile up.
Card payouts don't match the day's invoices
Most handyman tickets are paid by card at the door or through an emailed link. The processor then deposits one batch, less fees and refunds, usually later than the visit. Match each payout to the invoices inside it rather than to the bank total, or a single chargeback can hide in the books for months.
How much handyman services bookkeepers make
The closest BLS group for handyman services bookkeepers is bookkeeping, accounting, and auditing clerks. Bookkeeping, accounting, and auditing clerks who work for residential builders and remodelers earned a median of $26.00 an hour ($54,080 a year) in May 2025, according to the Bureau of Labor Statistics. That’s above the $50,670 median for bookkeeping, accounting, and auditing clerks in all industries. About 19,040 of the 1,373,680 bookkeeping, accounting, and auditing clerks in that survey work for residential builders and remodelers.
Handyman companies tend to pay bookkeepers by the hour or on a modest salary, plus a bonus when the books close cleanly and on schedule. BLS reports a median for this industry above the template's whole range, so expect someone who has run month-end alone to ask for more.

Skills to hire for, and what you can teach
Hire for these
Bank, card and processor reconciliations done without help
Clean data entry across a high volume of small invoices
Working knowledge of QuickBooks or a similar accounting system
Matching payment processor payouts to single invoices
A polite, steady habit of chasing missing receipts
Teach these on the job
Your field service app's invoice and payment screens
Which job types count as contractor work and which as retail sales
Your item codes for labor, materials and trip fees
Property manager billing portals and their invoice rules
Your month-end close checklist
Most handyman books sit in QuickBooks Online or another cloud ledger that syncs with the job software, for example Housecall Pro or Jobber. Add the card processor's payout reports and a receipt capture app. Tell applicants which ones you run and whether the sync between them is clean or still needs work.
Handyman services bookkeeper interview questions
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Chasing missing receipts
A technician says the hardware store receipts for last week's jobs are somewhere in the van, and month-end close is in [3] days. What do you do?
A strong answer: Asks for the receipts or store copies by a deadline, matches charges to jobs by date and address, flags materials never billed to customers, and proposes a photo-the-receipt rule.
Behavioral · Reconciliation
Tell me about a time card deposits from customer payments didn't match the invoices marked paid. How did you find the problem?
A strong answer: Matched batches to invoices, checked fees, refunds and timing, found the cause such as a payment posted to the wrong customer, corrected it and changed a habit.
Read the template's targets as placeholders, and reset them after a few closes at your current invoice volume.
Invoice processing accuracy
Sample invoices each week and check the customer, tax treatment, amounts and job number against the work order. Count any invoice that needed a credit or a reissue as an error.
Account reconciliation completion
List every bank, card and payment processor account, then record the date each one was reconciled to its statement and whether any items were left unexplained.
On-time vendor payments
Compare the paid date of each supply house, rental and subcontractor bill with its due date, and note missed early-payment discounts on their own line.
Monthly financial report turnaround
Note the date the CFO receives each month's reports, how that compares with your close deadline, and what caused any slip.
Career path
Billing clerk at a home service companySends invoices, posts payments and learns how field jobs turn into bills.
BookkeeperRuns daily entries, reconciliations and vendor payments for every territory.
ControllerOwns the monthly close, job profit reports and audit files, and manages the accounting staff.
What monthly reports should a handyman bookkeeper hand the CFO?
Gross margin by job type and by territory, open invoices grouped by property manager account, materials spend per job, and card fees against card revenue. Add a short list of jobs completed but not billed. Those views show where small tickets leak money, which a single company-wide profit and loss statement hides.
How much does a handyman services bookkeeper make?
Bookkeeping, accounting, and auditing clerks who work for residential builders and remodelers earned a median of $26.00 an hour ($54,080 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $43,730 and $65,190 a year. Pay also depends on your local market, experience and overtime.
Should the bookkeeper run payroll for the techs?
At many handyman companies, yes, with the HR manager owning the pay policies and the bookkeeper processing each run. Payroll starts from the hours or task counts in the field app, so the bookkeeper checks them against the schedule before every run. Ask candidates which payroll service they've used and how they fixed a missed clock-in.
What should a handyman bookkeeper check in the field app each day?
Start with jobs marked complete but not invoiced, then invoices marked paid with no matching deposit. Next, look for discounts or refunds a tech gave in the home without a note. These three lists catch leaks between the van and the ledger while they're still small and easy to explain.
Does a handyman bookkeeper need construction accounting experience?
It helps, but less than on a builder's books. Handyman work is many short jobs with no draws, retainage or progress billing. What matters more is speed and care with volume, a clear grasp of sales tax on mixed jobs, and patience with techs' receipts. People from a property management or service company office often fit well.
What do the bookkeeper template's lifting, vision and hearing lines mean?
All three describe everyday office work. Lifting here is moving a box of old records to storage or a case of printer paper to the copier. The vision and hearing items cover reading statements and screens and handling calls from vendors and techs. If a candidate would do any of these another way, talk it through with them.
