A property preservation dispatcher assigns each day's work orders to crews by due date, location and skill, and tracks them until the photos are in and the order is closed. When a roof leaks or a house is broken into, the dispatcher sends a crew there and reworks the rest of the route.

HUD sorts pools by type. An in-ground pool, hot tub or spa gets a removable safety cover anchored to the deck, or boards when a cover can't be anchored, and fences around it get fixed. Operating in-ground pools aren't drained and get monthly care and chemicals, while hot tubs and spas are drained. Above-ground pools are drained and covered, or removed if they can't be secured. Read the pool type before you pick the crew and truck. Source: HUD: FHA Single Family Housing Policy Handbook 4000.1, last revised August 12, 2026 (property preservation and Appendix 7.0).
Stack orders at the same house
One address can have an inspection, a grass cut and a lock change open at once. When due dates allow, send one crew to do them all on one trip, and remind them that each order needs its own photo set so each one can be billed.
Not every crew can take every order
Rekeys need lock parts and a tech who knows the client's rules. Debris jobs need a trailer and a landfill within reach. Winterizing needs someone who has done it on your clients' houses before. Keep a list of each crew's skills and equipment next to the board and check it before you assign.

Skills to hire for, and what you can teach
Hire for these
At least two years assigning and tracking field crews
Map sense: grouping houses by town and drive time
Calm, quick decisions when a rush order lands mid-route
Exact logs of who went where, when and why
Dispatch software, spreadsheets and mobile crew apps
Teach these on the job
Each client's order types and due date rules
Which crews hold which skills and equipment
Preservation work such as rekeys, boarding, pool securing and winterizing
Reading an inspection report for urgent problems
Your photo checklist for each order type
Dispatch runs on the company's work order system, a map or routing tool, and a crew app that sends orders out and brings photos back. Phone calls and group texts fill the gaps when a crew has no signal.
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Weather and due dates
You have [40] grass cuts due by Friday, and rain is forecast Wednesday and Thursday. What do you do?
A strong answer: Front-loads cuts to Monday and Tuesday, routes by area, adds a crew or vendor, and documents weather delays the way each client requires.
Behavioral · Many deadlines
Tell me about a time you kept track of many deadlines for different clients, each with its own rules.
A strong answer: Describes the system (a board or portal report sorted by due date, daily alerts), how they flagged at-risk orders early and asked for extensions in time, and how few deadlines were missed.
Use the template's numbers as examples only. Look back over a month of orders, how far apart the houses were and how many came in as rush jobs, then pick your targets.
On-time assignment rate
Share of orders completed on or before the date the client set, from the order system. Group the misses by reason: late assignment, wrong crew or no access.
Daily schedule accuracy
Each evening, check the board against what crews finished and uploaded. Count orders shown as done that weren't, and orders done but not marked.
Response time to crew inquiries
Time from a crew's call or app message to a useful answer, from phone and app logs. Spot check the busiest hours, when answers tend to slow down.
Customer Satisfaction Rating
Use the ratings and comments clients send back on finished orders, especially about updates and timing. Track them per client, since each client grades in its own way.
What does a preservation dispatcher handle on call?
Calls that can't wait for morning: a roof leak, a break-in or open door, police at a house, a burst pipe in a cold snap, or a client's rush order with a same-day due date. Keep a short list of crews willing to take after-hours work and each client's rule for approving emergency work.
How much does a property preservation services dispatcher make?
Dispatchers who work for building and home services companies earned a median of $20.94 an hour ($43,550 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $37,060 and $50,800 a year. Pay also depends on your local market, experience and overtime.
Why does knowing the service area matter so much?
Orders are scattered. A rural house can sit an hour from the next one, and a missed turn can cost a crew a stop. A dispatcher who knows which towns cluster, where crews can buy materials and which roads close in winter fits more finished orders into each day.
What do the template's sitting, standing and lifting lines mean?
The dispatcher works at a desk or standing station with phones and screens for most of the day, and now and then hands out or collects crew tablets, phones and chargers. If a candidate asks for a different setup, like a sit-stand desk, discuss it with them.
What dispatch experience carries over to preservation?
Towing, courier, utility locating, pest control and lawn care dispatch all carry over: many short stops, tight windows and proof of service. Someone from storm or water restoration knows rush work. Teach the order types and client rules on the job.
