A carpet cleaning dispatcher fills each van's day with jobs that fit its hours and its hoses, and keeps techs and customers told when the day changes. They slot back-to-back commercial nights, book rug pickups and returns, and check every van in each morning before its first stop.

The operations manager sets the routes and the rules. The dispatcher works the board inside them, job by job, and makes sure every change reaches the tech and the customer in time.
Hose reach decides the van
A truck mount works through hoses run in from the curb, so the building matters as much as the room count. Learn how much hose each van carries and which vans have a portable. Then check each booking for the floor the job is on and how far the door is from parking. Past your reach, send a portable or a van with extra hose, and book more time. A third-floor condo with parking around the corner is a different job from a ranch house with a driveway.
Rugs make two trips
If you wash area rugs at your shop, each rug job is two stops: a pickup and a return. The dispatcher books the pickup with the tech who will roll and carry it, and books the return only once the shop says it's clean and dry. Then the customer gets a delivery window like any other job. Put the rug's tag number on both stops so the right rug goes back to the right house.
Back-to-back commercial nights
Offices and stores often book several nights in a row. The dispatcher keeps the same tech on a building when possible, so entry steps stay with one person. They follow the company's rest rule before giving a night tech a morning route, and check that the van's waste tank was emptied and its chemicals restocked before it heads out again.
Every van checks in before it rolls
Each morning, every van reports in before its first job: tech on board, machine started, fuel and chemicals stocked, waste tank empty. A van that doesn't report, or reports a problem, gets its first jobs moved or covered before customers start waiting. After that, the GPS map shows who is running late before the customer calls.
How much carpet cleaning dispatchers make
Dispatchers who work for building and home services companies earned a median of $20.94 an hour ($43,550 a year) in May 2025, according to the Bureau of Labor Statistics. Hourly, as the template lists, with paid holidays and vacation. A bonus, if you add one, fits measures the dispatcher controls, such as on-time arrivals and van hours booked.

Skills to hire for, and what you can teach
Hire for these
Turns room counts, floors and parking notes into realistic job times
Rebuilds the day's board in minutes when a van goes down
Weighs a tech's on-site add-on against the next customer's window
Sends night techs out with every entry detail already on their phone
Sends short, clear messages to techs on the road
Teach these on the job
Your time standards by service and room
Each van's hose length and which vans carry portables
Your commercial accounts' night windows
Your scheduling and GPS software
Who holds the on-call phone, and how your rug shop tracks rugs
The board lives in scheduling and dispatch software with a GPS map of the vans and two-way texting, next to the operations manager's maintenance log that shows which vans are down. The ad should state how many vans are on the board and say whether the job also takes customer calls, as the template does.
Carpet cleaning dispatcher interview questions
Two of the 6 questions we'd ask, and what a strong answer sounds like. Ask every candidate the same questions, and rate each answer on your own before you compare notes.
Situational · Equipment breakdown
A truck-mount breaks down at [10 a.m.] with four jobs left on that route. What do you do?
A strong answer: Gets the shop's estimate, checks whether another truck or a portable unit can take some jobs, calls customers early with honest new times, and keeps any urgent jobs first.
Behavioral · Choosing between customers
Tell me about a time two customers needed the same time slot. How did you decide?
A strong answer: Used clear reasons such as urgency or prior commitment, explained it honestly, and offered the other customer something real.
Set targets from a month of your own board. A branch heavy with commercial nights and one built on homes won't fill vans the same way.
Job Assignment Efficiency
Jobs done by the first van and tech assigned, with no swap for skills, time or gear, as a share of the day's jobs. Note the reason for each swap.
Field Staff Utilization
Booked job hours over paid tech hours for the day, by van. Drive time and empty gaps pull it down; a water call that pulls a van leaves gaps elsewhere.
Timely Communication
Schedule changes that reached the tech and the customer before the first arrival time, out of all changes. Pull the times from your texting and call logs.
Customer Satisfaction Rating
Survey answers about arrival time and updates, kept apart from the cleaning score. Read every low score that mentions a late or moved visit.
What does a carpet cleaning dispatcher need from each booking?
The room count and square feet, stairs, upholstery pieces, pet spots, the floor the job is on, how far the door is from parking, and the window the customer can be home. Hose reach and job length both depend on them. A booking missing them goes back to the CSR before it goes on the board.
How much does a carpet cleaning dispatcher make?
Dispatchers who work for building and home services companies earned a median of $20.94 an hour ($43,550 a year) in May 2025, according to the Bureau of Labor Statistics. The middle half earned between $37,060 and $50,800 a year. Pay also depends on your local market, experience and overtime.
What should happen when a customer adds rooms at the door?
The tech checks with the board before saying yes. If the extra work fits before the next customer's window, the tech goes ahead and the next customer gets a text with the new time. If it doesn't fit, book the add-on as its own visit while the tech is still there. A van that says yes to everything makes every later customer wait.
Does a carpet cleaning dispatcher work the night jobs?
No. The template sets weekday hours of 8 to 5, with some weekend or holiday days. The dispatcher builds the night schedule during the day and attaches the access and setup details the operations manager collected for each building, so the tech has them on the phone. Trouble overnight goes to whoever holds the on-call phone, and the dispatcher reads the night's notes first thing.
Why does the carpet cleaning dispatcher template include customer calls?
The template lists answering customer questions as a daily task. In practice those are calls about today: where's my tech, can you come earlier, I need to change my time. New bookings and price questions stay with the CSRs, so the board isn't left alone during a rush.
